Overview
To monitor grant funds for fiscal responsibility and compliance in accordance with district, state, and federal regulations and in support of learning communities and other district work locations consistent with district goals.
Responsibilities and Qualifications
QUALIFICATIONS:
KNOWLEDGE, SKILLS AND ABILITIES:Demonstrated knowledge of federal and state grant compliance regulations and current educational trends. Knowledge of grant writing, preparation and processing practices and procedures. Knowledge of and ability to use, create, manipulate, and analyze data within Excel spreadsheets and database systems. Knowledge of school finances, particularly in the area of project budget development, set-up and monitoring for compliance. Ability to work and communicate effectively with people and communicate effectively with strong writing skills. Ability to interpret state board rules and school board policy. Ability to perform technical writing including proposal development. Ability to train others in writing grant application budgets and grant administration procedures. Ability to coordinate preparation of grant applications and facilitate processing from inception through award. Ability to administer a funded project, especially one involving multiple regional learning communities. Understands that quality teaching and learning are the essential processes and product of public schools and has the ability to focus human and financial resources toward this goal.REPORTS TO: Senior Administrator, GrantsSUPERVISES: NoneMACHINES, TOOLS, EQUIPMENT:Machines, tools, equipment, electronic devices, vehicles, etc., used in this position. Activities occur inside and outside.PERFORMANCE RESPONSIBILITIES:* Manifest a professional code of ethics and values.* Respond to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.* Model the routine, intentional and effective use of technology in daily work, including communications, organization and management tasks.* Keep the Grants leadership team and other appropriate staff members informed of current critical compliance requirements and issues about which they should be aware.* Manifest a professional code of ethics and values.* Coordinate procedures for the management of grants, contracts, special projects, and donations from award to close out.* Supervise and coordinate the compliance monitoring process for federal, state and foundation projects.* Work with and through people to develop compliance and accountability systems to ensure state and federal categorical programs comply with applicable rules and regulations.* Monitor the fiscal and programmatic components of multiple grant-funded projects and assist fund managers, upon request, with implementation consistent with the funding source guidelines.* Provide technical assistance to fund managers in various forms, including face-to-face or virtual trainings.* Provide information to fund managers regarding compliance issues and regulations.* Provide support to charter and non-public schools regarding guidelines and best practices in federal and state compliance regulations.* Serve as the district’s liaison for community agency meetings and events on grant-funded projects, as needed.* Assist with the development of a system of feedback and assessment of grants and special projects to determine its responsiveness to the needs of the learning communities and other work locations.* Support clear lines of communication and dissemination of information with all stakeholders.* Prepare and maintain required reports and documentation files for audits.* Follow the district’s policies and procedures as related to all HRMD guidelines and the district’s instructional initiatives.* Follow the district’s policies and procedures as related to fixed assets.* Develop leadership in subordinates.* Responsible for keeping up to date on current technology being used by OCPS. With the support of the district, attend training to ensure skill level in various technologies is at the level required to perform in current position.* Responsible for maintaining timely and accurate information and accountable for the quality of information maintained by those they supervise.∗ Responsible for self-development and keeping up to date on current research, trends and best practices relevant to the area of responsibility.Perform other duties and responsibilities as assigned by supervisor.* Essential Performance ResponsibilitiesTERMS OF EMPLOYMENT:Non-bargaining unit compensation plan, twelve months, 8.0 hours per dayEVALUATION:Performance on this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of personnel.01/20/2024
