Position: Scheduling Coordinator

Status: Part Time (20-30 hours per week)

Schedule: Monday-Thursday, 9am-2pm. Additional hours may be required in peak season. Ample notice will be provided.

POSITION OVERVIEW

The Scheduling Coordinator provides administrative and scheduling support to the Events staffing team by managing employee schedules in UKG Ready, maintaining schedule accuracy, and serving as a primary resource for staff scheduling questions and shift-related needs. Working under the direction of the Staffing Manager and in partnership with the Director of Events, this role supports day-to-day staffing operations by communicating schedule updates, assisting with staffing adjustments, and helping ensure events are staffed efficiently. The ideal candidate is highly organized, detail-oriented, computer-proficient, and able to thrive in a fast-paced hospitality environment while managing multiple priorities with accuracy and professionalism.


RESPONSIBILITIES

· Manage and maintain employee schedules within UKG Ready, ensuring accuracy, proper staffing levels, and timely updates for upcoming events.

· Input event staffing needs, shifts, and schedule changes while maintaining accurate records and attention to detail.

· Monitor staffing levels and assist with schedule adjustments, including shift changes, callouts, coverage requests, and last-minute staffing needs.

· Serve as a primary point of contact for team members regarding scheduling questions, availability, shift assignments, and schedule-related concerns.

· Communicate schedule updates and staffing changes clearly and professionally with team members, Staffing Manager, and Events leadership. Attend weekly events and team meetings.

· Partner with the Staffing Manager and Director of Events to review upcoming event needs in Caterease, support efficient staffing operations, and ensure appropriate team coverage for each event.

· Assist with onboarding and training support for new team members, including schedule setup, system access, and follow-up communication as well as attending monthly New Hire Orientation.

· Provide support with training and retention programs by following up with new hires, monitoring employee progress, and tracking timecards and monthly shift minimums to ensure staffing requirements are met.

· Maintain accurate employee records for required SC Alcohol Server Certificates and ABL Licensing compliance, ensuring all new hires complete required certifications within their first 30 days of employment.

· Track employee availability, scheduling preferences, timecards, and attendance information to support effective staffing decisions.

· Support event operations by providing administrative coordination and staffing assistance before, during, and after events as needed.

· Maintain confidentiality and professionalism when handling employee information and company records.

· Oversee uniform inventory including bowties, ensuring team members are properly equipped for events.

· Assist with organization, tracking and distribution of client tips to staff in a timely and accurate manner.

Requirements

 

· Associate degree or higher required.

· Prior food and beverage/hospitality experience required.

· Must be proficient in Microsoft Office with the ability to effectively utilize programs such as Outlook, Excel, Word, and other administrative tools to manage schedules, organize information, prepare documents, and support daily operations.

· Strong administrative skills with the ability to efficiently manage data, maintain accurate records, navigate scheduling systems, and complete administrative tasks with attention to detail.

· Ability to work without direct supervision and follow through to completion of assigned tasks.

· Demonstrates strong verbal and written communication skills with the ability to clearly share information, respond to questions, and collaborate effectively across departments.

· Willingness to adapt as needed in a fast-paced office environment with the ability to multi-task.

· Maintains a high level of professionalism, reliability, and positive representation of Patrick Properties when interacting with team members, leadership, and partners.
