JOB DESCRIPTION

DISTINGUISHING FEATURES OF THE CLASS:

The work involves performing advanced and responsible sub-professional level administrative duties. Work is performed under the general supervision of an administrative employee of higher rank. Work is performed according to established procedures, but exercise of independent judgment and action is required. Does related work as required.                                                                                   

TYPICAL WORK ACTIVITIES:

  • Provides administrative support and establishes and applies appropriate processes and procedures to ensure efficient and effective operations;

  • Maintains calendars, schedules meetings and responds to inquiries in a timely fashion;

  • Maintains time and attendance records;

  • Maintains employee records;

  • Checks invoices and prepares requisitions for purchase orders processing; receives goods when delivered by vendors;

  • Composes letters to departments and outside agencies;

  • Compiles statistics of department activities;

  • Responsible for assisting with various committees and other working groups by creating agenda’s, scheduling meetings, and transcribing meeting minutes;

  • Assists in preparation of budgets, financial reports, State applications;

  • Maintains records of budget and personnel change approvals and administers control records;

  • Confers with higher ranking employees, often at administrative levels, and participates in the preparation of administrative policies and matters; and assists in establishing the procedures to ensure policies are being applied appropriately throughout the college;

  • Functions as a liaison between college departments or administrative units and divisions, other County departments and/or units of government, vendors, contract representatives, etc.; and manages submissions of contracts and agreements for approval;

  • Coordinates travel arrangements and reimbursement for senior administrators;

  • May assign and schedule secretarial, stenographic, and clerical duties to subordinate staff;

  • Prepares monthly reports;

  • Prepares submissions for various college communications and ensures website remains updated for area of support;

  • Interviews applicants for employment, arranges physical examinations, fingerprinting and similar personnel duties.

FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:

Thorough knowledge of office terminology, procedures and equipment; thorough knowledge of business arithmetic and English; good knowledge of SUNY Erie organizational structure and practices; good knowledge of modern methods of maintaining accounts and records; good knowledge of computer software including word processing, spreadsheet, database and cloud-based applications; working knowledge of sound personnel practices and procedures; ability to communicate effectively both orally and in writing; ability to establish and maintain effective working relationships with a diverse constituency; initiative; dependability; good judgment; capable of performing the essential functions of the position with or without reasonable accommodation.

MINIMUM QUALIFICATIONS:

A.) Possession of an A.A.S. degree** in Business, Accounting, Office Management, Secretarial Science or closely related field, and two (2) years of clerical experience, at least one (1) year of which must have included supervisory responsibilities; or:


B.) Four (4) years of satisfactory business or office experience, at least two (2) years of which was in a clerical position, and one (1) year of which must have included supervisory responsibilities; or:


C.) An equivalent combination of training and experience as defined by the limits of (A), and (B).

NOTE 1: *Per resolution (#L-2026-0032) presented to State Civil Service Commission, action approved and filed with the Department of State on April 17, 2026, under the Hiring for Emergency Limited Placement Statewide (HELPS) Program, this title is temporarily reassigned to NON-COMPETITIVE Classification.

If your degree was awarded by an educational institution outside the United States and its territories, you must provide independent verification of equivalency. NOTE 3:   Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full time experience requirements.
