Overview
The Executive Assistant performs a variety of general and complex administrative duties in support of the Chief Operating Officer, Vice President of Business Transformation, Senior Director of Operations and several Operations Directors.
Responsibilities
Essential Functions
-Manage office calendars requiring complex scheduling with internal and external stakeholders.-Assist with Outlook inbox management requiring the prioritization of a high volume of incoming communication.-Draft, edit, and/or send communication to internal and external stakeholders.-Assist with recording and maintenance of departmental records and documents.-Manage business expense purchases and receipts, code monthly credit card statements, and process expense reimbursement forms.-Maintain a variety of business-related accounts, subscriptions, and memberships.-Coordinate and manage travel arrangements including conference registrations, lodging, flights, and ground transportation.-Purchase office supplies and maintain inventory.-Support operational projects and initiatives requiring the maintenance of project trackers, timelines, action items, deliverables, and stakeholder follow-up.-Analyze and translate operational data into clear reports and insights to support executive decision-making, performance tracking, and strategic planning.-Plan and execute departmental meetings and special events requiring audio/visual support, logistics management, the development and distribution of presentations, reports, dashboards, and other materials to stakeholders, and catering.
Qualifications
REQUIRED EDUCATION: High School Diploma or equivalent (higher degree accepted)
MINIMUM EXPERIENCE: 5 years of progressively responsible administrative and operations experience; equivalent combinations of education and experience will be considered.
