Position Overview

The Schedule Control & Reporting Expert is responsible for supporting the efficient operation of the project management function across the Contract and external interfaces by providing schedule control, schedule performance analysis, progress monitoring, deviation reporting, forecasting, and management reporting for the O&M phase. The role will monitor each O&M Contractor’s performance against key contractual milestones, develop and implement scheduling dashboards, optimize and automate reporting processes using digital tools and AI-enabled solutions, and prepare monthly reports to support management decision-making and contract oversight.

The position serves as a key interface between the project management team, O&M Contractors, consultants, and client stakeholders, ensuring accurate reporting of schedule performance, schedule integrity, key milestone achievement, risks, deviations, and required recovery actions.

Key Responsibilities

Schedule Management & Control

  • Develop, review, and maintain project baseline schedules and periodic schedule updates.
  • Review each O&M Contractor’s detailed schedules to ensure compliance with contract requirements, project objectives, and key contractual milestones.
  • Monitor O&M Contractor progress against approved baselines, key milestones, and contractual deliverables.
  • Conduct critical path analysis and identify schedule constraints, delays, and improvement opportunities.
  • Evaluate schedule impacts arising from variations, design changes, and project risks.
  • Support the preparation of recovery schedules and mitigation plans to address schedule deviations and milestone slippages.
  • Monitor project handover, close-out, and commissioning schedules.

Progress Monitoring

  • Monitor O&M Contractor progress and performance against planned targets, approved schedules, and key milestones.
  • Validate reported progress and assess schedule performance against contractual requirements and planned targets.
  • Identify schedule deviations and recommend corrective actions.
  • Review O&M Contractors’ reported progress, productivity, and achievement of key milestones.
  • Ensure timely achievement of project milestones and contractual deliverables.

Reporting & Performance Management

  • Prepare monthly reports, executive-level reports, and supporting presentations on schedule performance and deviations.
  • Develop and implement scheduling dashboards, KPIs, milestone reports, and management summaries.
  • Identify opportunities to optimize and automate reporting workflows, including the use of AI-enabled tools for data consolidation, trend identification, variance analysis, and management reporting.
  • Provide schedule performance analyses highlighting deviations, key risks, delays, milestone slippages, and forecast completion dates.
  • Consolidate project data and prepare presentations for client and senior management reviews.
  • Support the project management function with timely and accurate schedule control, reporting, and performance information across the Contract.

Schedule Deviation & Recovery Support

  • Review and analyze schedule deviations, delays, and milestone slippages reported by O&M Contractors.
  • Assess the impact of delay events on key milestones and contractual deliverables.
  • Prepare and review mitigation measures and recovery plans.
  • Support the assessment of schedule impacts arising from changes, risks, or interface issues.
  • Provide schedule-related inputs to contract and commercial teams where required.

Contract Performance Coordination

  • Support contract performance monitoring through schedule progress measurement, forecasting, and milestone tracking.
  • Review project performance indicators and earned progress metrics.
  • Coordinate with relevant project controls and reporting teams to ensure consistency of schedule data, dashboards, and monthly reports.
  • Support progress validation and reporting reviews where required.
  • Monitor O&M Contractor performance against contractual obligations and key milestones.

Stakeholder Management

  • Coordinate with project managers, O&M Contractors, consultants, client representatives, and external interface stakeholders.
  • Participate in progress review meetings and project control workshops.
  • Provide expert advice on schedule-related matters and project performance trends.
  • Ensure consistency and quality of schedule control, dashboards, and reporting deliverables across the Contract.

Qualifications

Education

  • Bachelor’s degree in civil engineering, Construction Management, Project Management, or a related discipline.

Experience

  • Minimum 7 years of experience in planning, scheduling, project controls, or project reporting.
  • Experience in infrastructure, transport, rail, metro, operations and maintenance, PMC, consultancy, contractor, or PMO environments.
  • Experience working with contractors, O&M Contractors, consultants, and client-side stakeholders.
  • Proven experience in schedule control, schedule performance analysis, progress monitoring, deviation reporting, dashboards, and monthly reporting.

Technical Skills

  • Primavera P6 (Expert Level).
  • Schedule development and baseline management.
  • Critical Path Method (CPM) analysis.
  • Progress monitoring and forecasting.
  • Schedule deviation analysis and recovery planning.
  • Monthly reporting, executive reporting, and presentation preparation.
  • Dashboard development and KPI reporting.
  • Earned Value Management (EVM).
  • Advanced Microsoft Excel and PowerPoint.
  • Knowledge of project controls systems, KPIs, and reporting tools.
  • Knowledge of reporting automation, data visualization, and AI-enabled tools to improve reporting efficiency, accuracy, and insight generation.
