Description
The Finance Coordinator supports the Assistant Director of Finance with the day-to-day administrative, transactional, and reporting work that keeps the property-level finance function running accurately. This role is the operational backbone for property-level financial reporting and forecasting activity, managing the flow of source documents, billing, deposits, and daily reports that the finance team depends on to close, forecast, and communicate performance.
This role operates within a defined scope. General ledger maintenance, balance sheet reconciliations, and technical accounting judgment remain the responsibility of the central Accounting team. The Finance and Accounting Coordinator keeps the property side organized, accurate, and moving on schedule so that handoffs to Accounting are clean and nothing falls between the two functions.
Administrative Support
Support the property team in preparing and routing invoices to Accounts Payable, ensuring documentation is complete and accurate before submission.
Support the month-end close calendar by gathering, organizing, and delivering source documents to the Accounting team on schedule.
Maintain organized filing systems for financial documents, contracts, and supporting records at the property level.
Assist the Assistant Director of Finance with scheduling, correspondence, and administrative tasks related to the finance function.
Billing and Accounts Receivable Support
Prepare and distribute guest and group billing backup and invoices accurately and on time.
Follow up on outstanding city ledger accounts and communicate status to the Assistant Director of Finance.
Reconcile daily cashier and front-office deposits against PMS reports before forwarding to Accounting, resolving discrepancies at the property level.
Reporting and Forecasting Support
Pull and compile daily flash, STR, and USALI-formatted reports for review by the Assistant Director of Finance.
Assist the Assistant Director of Finance with updates to forecasts, budgets, and monthly financial reports.
Ensure all reports are accurate, formatted correctly, and delivered on the schedule required by the finance team.
QUALIFICATIONS
Bachelor’s degree in accounting, business, or a related field preferred; Associate’s degree or equivalent combination of education and experience considered.
One to two years of bookkeeping, accounting, or accounting-support experience; hospitality experience a plus.
Proficiency in Microsoft Excel required; exposure to property management systems and accounting software a plus.
Strong attention to detail and demonstrated ability to manage confidential financial data with discretion.
Clear written and verbal communication skills; ability to coordinate across finance, accounting, and operational teams.
Organized and deadline-driven; able to manage recurring tasks and document flows without close supervision.
