We’re looking for an Office & Corporate Support - a trusted, proactive leader who will serve as a force multiplier for our executive team and keep our operational headquarters running seamlessly. This role sits at the intersection of corporate support, office management, and organizational enablement. Sitting at the center of business operations, you will act as a critical gatekeeper, soundboard, and driver of internal consistency. While administrative mastery is foundational to this role, we are seeking a seasoned professional who brings high emotional intelligence, flawless discretion, and the autonomy to anticipate needs before they arise.

What You’ll Own:
Corporate Support & Strategic Partnership
- Handle sensitive communications, business strategy, and confidential information with absolute discretion, integrity, and sound judgment.
- Partner directly with senior leaders to optimize their time, manage executive calendars, protect focus hours, and remove operational friction so leadership can focus on high-impact priorities.
- Transform ideas and strategic directions into polished, presentations, reports, templates, visual diagrams, and stakeholder communications.
- Own the end-to-end coordination for leadership meetings, leadership interviews, key customer visits, board interactions, and strategic planning sessions.
Office Operations & Site Management
- Serve as the primary point of contact for incoming company calls and general communications, representing Earthscape with warmth, professionalism, and executive presence.
- Maintain the rhythm, culture, and physical presence of our Wallenstein office—ensuring a productive, organized, and welcoming environment for leadership, staff, and external visitors.
- Coordinate meeting logistics, room bookings, catering, and visitor experiences to ensure seamless on-site interactions.
- Partner closely with internal departments (Finance, Operations) and external service providers to coordinate facility needs, manage office vendors, and address operational issues promptly.
Organizational Coordination & Process Ownership
- Coordinate end-to-end logistics for quarterly planning sessions, annual strategy retreats, company events, and organizational gatherings from initial setup through final execution.
- Manage complex travel arrangements, accommodations, detailed itineraries, and logistics for leaders and cross-functional teams.
- Coordinate organizational administrative processes including employee vacation tracking, scheduling, and supporting cross-functional initiatives by tracking timelines, communications, and action items.
- Proactively identify process bottlenecks. Build practical, scalable administrative systems, tools, and documentation that streamline operations across the business.
What You Bring
- 5+ years in an Executive Assistant, Office Manager, or Operations Lead role supporting senior leadership in a fast-paced environment.
- A proven track record of handling confidential, high-stakes information with exceptional discretion and emotional intelligence.
- Ability to operate independently, make sound decisions under pressure, and solve problems proactively before they escalate.
- Exceptional written and verbal communication skills with the confidence to interact seamlessly with external partners, clients, and leadership.
- Advanced proficiency in Google Workspace (Slides, Docs, Sheets, Gmail) paired with a sharp design eye for creating visually compelling, presentations and documents.
- A natural drive to organize complexity, build efficient workflows, and bring consistency to business operations.
- A humble, collaborative, and accountable mindset with a strong service orientation and a drive to continuously improve.
