Description

The receptionist provides front-line customer service and administrative support for the Early Learning Resource Center (ELRC). The position is responsible for greeting and directing visitors, responding to telephone inquiries from families, child care providers, and community members, and performing a variety of administrative and clerical duties that support daily office operations. The role ensures that inquiries are handled professionally, information is communicated accurately, and visitors and callers are connected to appropriate services, resources, and staff in a timely and courteous manner.

  • Greet visitors, provide information, and direct individuals to the appropriate staff, services, or resources in a courteous and professional manner.
  • Answer, screen, and route incoming telephone calls from families, child care providers, community members, and other stakeholders, responding to routine inquiries and directing complex requests as appropriate.
  • Receive, sort, date-stamp, and distribute incoming mail and correspondence in a timely manner.
  • Scan, process, and distribute documents received through mail, fax, and other communication channels.
  • Prepare, distribute, and maintain correspondence, reports, forms, and other office documents.
  • Provide receptionist and administrative support for the Early Learning Resource Center.
  • Maintain accurate records and assist with document management, filing, and general office organization.
  • Monitor front desk activities and ensure visitors, callers, and community partners receive prompt and professional customer service.
  • Support daily office operations by assisting staff with administrative and clerical tasks as needed.
  • Maintain a professional and businesslike manner when interacting with the public, providers, community partners, coworkers, and County departments.
  • Perform related duties and special assignments as requested or assigned.

Minimum Experience and Training Requirements

  • Applicants must be at least 18 years of age.

Competencies, Skills and Other Experience 

  • Minimum of two years of experience as a receptionist preferred.
  • General knowledge and understanding of DHS regulations, including 55 PA Code Chapter 3042 Subsidized Child Care Eligibility, Chapter 168 TANF Eligibility, Chapter 3270 Child Day Care Centers, Chapter 3280 Group Child Care Homes, and Chapter 3290 Family Child Care Homes.
  • General knowledge of community resources and the ability to identify, access, and utilize appropriate service agencies and supports for children and families.
  • Strong organizational, time management, and recordkeeping skills with a high degree of accuracy and attention to detail.
  • Ability to identify and respond to crisis situations in a timely, appropriate, and professional manner.
  • Ability to exhibit sensitivity to cultural, economic, and educational differences and communicate effectively with diverse client and provider populations.
  • Ability to work effectively with staff, clients, and early learning providers with varying learning styles, abilities, and needs.
  • Ability to work independently and collaboratively while maintaining professionalism, confidentiality, and effective service delivery.
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and Teams; and the ability to adapt to new software, systems and technology tools as needed.
  • Excellent written and verbal communication skills.
