Family Assistant / Household Manager

Location: Birmingham, Alabama 35226

Employment Type: Part-Time, 25–30 hours per week; 25 hours guaranteed

Schedule: Core hours are Tuesday–Thursday, 1:00 PM–6:00 PM. Monday and Friday hours are flexible based on the family's needs. Occasional evening availability and periodic overnight stays are also requested.

Compensation: $30–$35 per hour (based on experience)

Start Date: November 2026

Requirements

• Maintain a smoke-free environment.
• Must be authorized to work in the United States.
• Reliable personal transportation with valid driver's license; mileage reimbursement provided for work-related errands.
• Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including general wellness, COVID-19, and influenza vaccinations), subject to applicable legal accommodations.
• CPR and First Aid certification preferred.
• Passport preferred (or openness to obtaining one)
• Willingness to sign a Non-Disclosure Agreement.
• Must be comfortable working around and caring for a household dog as needed.

You’re a warm, reliable self-starter who naturally notices what needs to be done and takes ownership without needing constant direction. You bring a calm, positive presence to a busy household, communicate openly when plans change, and are flexible and comfortable pitching in wherever needed. You’re thoughtful and dependable, taking pride in being someone a family can truly count on. You also love dogs and are comfortable providing attentive, hands-on care, including administering medications when needed.

We’re looking for someone with experience supporting children and teenagers who brings patience, empathy, and genuine engagement to their work. You’re comfortable balancing a variety of household needs, from coordinating errands and vendors to preparing meals and organizing the home. Most importantly, we’re looking for someone who values trust and discretion, enjoys working closely with a family, and would be excited to build a genuine, long-term relationship with ours.

Key Responsibilities

Family Support

• Provide school pickup three days per week (Tuesday–Thursday) and transport the children to after-school activities.
• Provide light afternoon supervision and backup childcare as needed.
• Oversee homework completion and coordinate with the family's tutor.
• Collaborate with the teenager on weekly meal planning and introduce new recipes and meals.
• Complete kid-related errands, including school supplies, activity preparation, and other needs.
• Conduct seasonal closet checks and organize clothing rotations as children outgrow items or clothing becomes worn.

Meal Support

• Prepare 2–3 family dinners per week, partnering with the teenager on meal planning and recipe selection.
• Maintain and manage household grocery lists and supply inventory.
• Maintain kitchen cleanliness and reset the space when needed.

Household Organization & Maintenance

• Complete daily home resets, including dishes, surface cleaning, counter wiping, and vacuuming high-traffic areas.
• Reset and tidy rooms daily to prepare for the cleaners once a regular cleaning service is established.
• Maintain household organization systems and keep shared spaces orderly and functional.
• Complete quarterly household maintenance tasks, including replacing batteries, light bulbs, and smoke detector batteries.
• Manage the travel supply station and ensure it remains organized and fully stocked.

Inventory & Errands

• Restock pantry/fridge/household with supplies for both properties.
• Coordinate dry cleaning drop-offs and pickups.
• Occasional gift shopping as needed, including holiday gifts, teacher gifts, and colleague appreciation.
• Review, manage, and cancel outdated subscriptions while maintaining active household subscriptions.
• Manage incoming mail and packages, including unpacking, breaking down boxes, and recycling materials.

Laundry & Linens

• Coordinate scheduling and communication with the family's existing laundry service, Poplin.
• Put away laundered items when returned and maintain an organized laundry room.

Pet Care

• Feed and let the dogs out throughout the day.
• Transport the dogs to bi-weekly veterinary appointments for allergy shots, as well as physical therapy and grooming appointments as needed.
• Transport the larger dog to and from daycare as needed.
• Pick up the dogs from boarding following family travel.
• Maintain pet supplies.
• Provide patient care for one dog requiring additional daily care and support.

Vendor & Property Oversight

• Oversee and coordinate cleaners, contractors, landscapers, and other service providers across both properties.
• Perform seasonal property maintenance.
• Research and coordinate repairs and quotes; follow through on scheduling and completion.
• Conduct bi-weekly walkthroughs of the secondary property to monitor general upkeep, landscaping, and maintenance needs.
• Conduct monthly walkthroughs of the primary residence once the family has returned and identify any maintenance or household needs requiring attention.

Vehicle Upkeep

• Coordinate with the family's EA to schedule routine maintenance for the family vehicle.
• Track vehicle registration deadlines and ensure renewals are completed on time.

Administrative Support

• Coordinate daily and weekly scheduling with the family's EA to align on school pickups, household logistics, and upcoming needs.
• Occasional on-call support for international travel logistics; willingness to travel with the family is a plus.
• Track receipts and manage household expenses.
• Coordinate events and appointments as needed in partnership with the EA.
• Support the parent’s personal brand by organizing and uploading photo and video content to shared drives for collaboration with their social media manager.
