Business Support Administrator
Location: Leamington Spa
Salary: Up to £28,000 depending on experience
Hours: Monday–Friday, 9:00am–5:30pm + 1 in 4 Saturdays
Reports to: Operations Manager
Job Type: Full-Time
The Opportunity
We’re looking for a highly organised, switched-on Business Support Administrator to join a busy lettings and property management team in Leamington Spa.
This is a role for someone who understands that great administration is about more than ticking boxes. Your attention to detail, organisation and ability to stay one step ahead will help keep tenancies compliant, property managers supported and landlords and tenants receiving a first-class service.
You’ll be the person making sure the important things happen accurately, on time and without needing to be chased.
From tenancy agreements and deposit registration to compliance tracking, credit control and client communication, you’ll play a key role in keeping the wider operation running smoothly.
What You’ll Be Doing
Tenancy Administration

Prepare and issue tenancy agreements, amendments and renewals.

Ensure tenancy paperwork is accurate and completed correctly first time.

Process amendments promptly, with a target turnaround of 48 hours.

Maintain accurate and up-to-date tenancy records.
Deposits & Compliance

Register deposits within the required statutory deadlines.

Upload and maintain safety certificates and Right to Rent documentation.

Monitor compliance dates and proactively flag anything approaching expiry.

Help ensure the portfolio remains fully compliant and audit-ready.
Financial Administration
-
Support credit control and follow up outstanding arrears.

Raise and allocate fees accurately.
-
Ensure financial administration is completed promptly and correctly.

Escalate issues where further action is required.
Landlord & Tenant Communication

Act as a professional first point of contact for landlord and tenant enquiries.

Handle telephone and email queries confidently and efficiently.
-
Resolve issues wherever possible, or ensure they reach the right person quickly.

Build positive relationships through clear, helpful and professional communication.
Systems & Workflow

Keep internal systems and workflows accurate and fully up to date.

Ensure documentation and records are maintained correctly.

Identify gaps, errors or inefficiencies and raise them with the appropriate person.

Look for ways to improve processes rather than simply following them.
Supporting the Property Management Team

Provide reliable administrative support to Property Managers and the wider lettings team.

Assist with documentation, compliance tracking and coordination.

Anticipate what the team needs and help keep work moving.

Become someone the Property Management team can rely on without having to chase.
What We’re Looking For
You’ll be naturally organised, detail-focused and comfortable working in a busy environment.
You’ll ideally have experience within estate agency, lettings, property management, administration or a compliance-focused environment, although attitude, ownership and attention to detail are just as important.
