Job position summary:

Reconciliation of patient records to include prepping/scanning of documentation according to policies and
procedures to assure timely processing of information.
Performs all routine Release of Information (ROI) functions, including retrieving electronic and paper health
records, ensuring appropriate request received that complies with all federal, state and agency regulations
regarding release of information. Serves as front reception for the Health Information Management (HIM)
Department.
Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that
are equally respectful to all.

HIM Tech/ROI Specialist - HRMC - FT

ESSENTIAL FUNCTIONS:
 Picks up and reconcile medical records and loose documentation from nursing and ancillary departments to
ensure discharged records are received and processed timely.
 Follows up with nursing and ancillary departments to locate missing medical records.
 Preps and Scans medical records and loose documents.
 Performs quality review on documentation to ensure image is present, each piece of paper is indexed to the
correct patient, and documents are indexed accurately in the electronic health record.
 Abides by the Health Insurance Portability and Accountability privacy and security regulations regarding all
aspects of Protected Health Information (PHI).
 Perform all activities relating to release of medical information to all requestors, including patients,
physicians, other health care providers, insurance companies, external auditors, attorneys, etc. in
accordance with hospital policy and state and federal laws.  Processes subpoenas and court orders.
 Contacts requestors when non-compliant requests are received to explain authorization requirements.
 Inputs all release requests into ROI software, along with maintaining status of all requests.
 Scans all release requests into the patients’ electronic health record.
 Alerts facility leaders of unusual requests.
 Upholds security and confidentiality regulations for record access and review.
 Support department activities such as answering the phone and providing customer service to all callers
and visitors to the department.
 Participate in department performance improvement projects.
 Adheres to defined quality competencies per policy
 Meets and maintains productivity standards for competencies

MINIMUM KNOWLEDGE AND SKILLS REQUIRED:
 Basic keyboarding, filing and computer knowledge and skills.
 Strong knowledge of HIPAA regulations and ability to maintain confidentiality surrounding protected
health information (PHI).
 Excellent verbal and written communication skills.
 Ability to prioritize and work independently as well as working as a team member.
 Demonstrated ability to communicate effectively with leadership, internal and external customers.
 Critical thinking skills with the ability to analyze issues and problem solve, be empowered to expedite
decisions, explore and recommend options and follow-up on outstanding issues related to their work.

MINIMUM EDUCATION AND EXPERIENCE REQUIRED:
 Post high school education or 2 years’ experience in Health Information or similar health-related experience
 Experience in an office environment including interaction with public.

PREFERRED EDUCATION AND EXPERIENCE:
 Associate Degree minimum preferred
 Previous experience in release of information functions preferred.
