Directs the clinical activities of the office, supervises, coordinates, and provides leadership functions for clerical staff, medical assistants, and nurses in conjunction with the physicians of the practice. Oversees personnel matters, maintains reports and acts as liaison between the office, Washington University, and the BJH hospital system.Job Description
Primary Duties & Responsibilities:
- Plans, coordinates and implements operations of the practice including assistance with development and maintenance of efficient procedures and oversees administrative and clinical operations.
- Interacts and collaborates with clinicians to provide direction and oversight of schedules and workflows.
- Reviews, assists, promotes and maintains development of office policies and procedures
- Facilitates educational opportunities for staff to ensure compliance with WU and regulatory guidelines.
- Reviews clinician and staff productivity and metrics, including appointment, referral, and billing data
- Assesses new procedure implementation, including research of viability, education, privileging, billing, and tracking
- Maintains job descriptions for office, manages role posting and interviewing of new employees, acts to resolve personnel problems, prepares and approves staff schedules
- Supervises the management of personnel, maintains records, makes hiring recommendations, evaluations, counseling, and terminations. Manages time reporting and other changes affecting payroll. Submits payroll for processing.
- Supervises front desk staff including Pain-Psych co-pay collection process, timely completion of charge entry and maintenance of billing edits.
- Functions as working supervisor by filling in to cover front desk, medical records, and billing functions.
- Assists in preparation and distribution of monthly reports such as financial reports and patient requested reports
- Assists with the utilization planning of space and facilities for clinics
- Attends regularly scheduled staff and clinical meetings, including FPP COC, clinical taskforce and monthly and bi-monthly site meetings with clinical leadership. Is onsite at each clinical location once per week.
- Acts as a liaison between clinical staff and clinicians, WUSM and BJH, creating and maintaining a positive relationship. Coordinate the standardization of policies and practices with hospitals, department, and Medical School administration.
- Manages EPIC use, access and processes, acts as a liaison between clinicians, clinical staff, WUCAT, FPP, OpTIme, Ambulatory and AI teams
- Provides oversight to patient communications including, warning, and dismissal letters. Manages clinician change requests
- Performs other duties as assigned.
