The Field Marketing Operations Manager supports the day-to-day business operations of the Field Marketing department. Reporting to the Director of Field marketing, this position carries out established processes and procedures that keep events, retail partnerships, and departmental administration running smoothly across all markets.
This role is responsible for events and show coordination, calendar and schedule maintenance, vendor and venue communication, invoice and expense processing, retail partnership support, reporting, and general departmental administration. The Manager follows procedures and escalates issues, exceptions, and decisions outside of established guidelines to the Director. The Director owns operational planning, budget administration, and process design. This position provides the execution and administrative support necessary to carry out those plans.
Department Operations Support
• Perform daily administrative and operational tasks for the Field Marketing department across all markets.
• Carry out operational plans and task assignments provided by the Director.
• Follow established departmental procedures and checklists; flag recurring issues or bottlenecks for review.
• Maintain and update departmental operating procedures, templates, and reference documents as directed.
• Track open action items and deadlines and provide status updates to the Director.
Event & Show Coordination
• Coordinate logistics for shows, retail events, and promotional activations, including registrations, booth requirements, materials, and supply orders.
• Maintain the master event calendar, keeping dates, locations, staffing assignments, deadlines, and registration statuses current.
• Collect staffing availability and assist in building event schedules based on requirements set by the Operations Manager.
• Confirm event details with venues, vendors, and internal teams ahead of each activation.
• Compile post-event results (leads, demos, staffing hours) and submit summaries for review.
• Escalate day-of issues such as venue problems, no-shows, or logistical conflicts, and assist in carrying out the resolution.
• Source and book new shows and events expo home improvement wants to be a part off.
Budget & Invoice Support
• Process vendor invoices, expense reports, and purchase requests according to established approval workflows.
• Verify invoice accuracy against contracts, event details, and submitted documentation before routing for approval.
• Maintain budget and expense tracking spreadsheets and flag discrepancies or overages.
• Gather and organize data used in Cost of Marketing (COM) and departmental financial reporting.
Vendor & Venue Coordination
• Serve as a day-to-day point of contact for vendors, venues, and suppliers on routine scheduling, shipping, and logistics matters.
• Submit registrations, certificates of insurance, permits, and required paperwork by established deadlines.
• Maintain vendor contact lists, contract files, and service records.
• Document vendor issues and service failures and report them to the Operations Manager.
Retail Operations Support
• Provide administrative support for retail partnerships, including scheduling submissions, badge and access requests, and partner paperwork.
• Track staffing coverage against approved retail schedules and report gaps.
• Assist in monitoring compliance with partner requirements and report exceptions.
• Coordinate delivery of displays, signage, collateral, and supplies to retail locations.
Reporting & Data Support
• Pull, compile, and format recurring reports on staffing, event performance, lead volume, and marketing metrics.
• Maintain accuracy and consistency of data entered into departmental trackers, spreadsheets, and systems.
• Assist the Operations Manager in preparing reports and presentation materials for leadership.
• Identify and report data errors, missing records, or reporting inconsistencies.
Department Administration
• Support payroll and bonus reporting by collecting, verifying, and submitting hours, production data, and supporting documentation.
• Maintain departmental records, contracts, rosters, and filing systems.
• Track inventory of marketing materials, uniforms, tents, displays, and event equipment; submit reorder requests as levels require.
• Ensure required documentation is completed accurately and on time in accordance with company policy.
Cross-Functional Support
• Route requests and follow-ups between Field Marketing and Finance, HR, IT, Sales, Operations, and Marketing.
• Support cross-functional projects by completing assigned tasks and tracking deliverables.
• Communicate status updates and escalate blockers to the Operations Manager.

Requirements
• 1–2 years of administrative, coordination, marketing, or event support experience.
• Strong organizational skills with the ability to manage multiple deadlines and details simultaneously.
• Proficiency with spreadsheets, email, calendars, and shared file systems; ability to learn internal reporting tools.
• Clear, professional written and verbal communication with internal teams and external partners.
• Comfortable working in a fast-paced environment with shifting priorities.
• Willingness to travel to events and retail locations as needed, including occasional evenings and weekends.
• Valid driver's license and reliable transportation.
Working Conditions
- Primarily performed in an office environment with prolonged periods of sitting, working on a computer, and using standard office equipment.
- Frequent use of a computer, phone, and other office technology to coordinate events, manage schedules, maintain reports, and communicate with internal teams and external vendors.
- Occasional travel to company offices, retail locations, home shows, promotional events, and other field marketing activations to support operations, conduct site visits, or assist with event setup and execution.
- May occasionally be required to lift, carry, or move marketing materials, event supplies, displays, or equipment weighing up to 25 pounds.
- Occasional work outside of normal business hours, including early mornings, evenings, weekends, and holidays, may be required to support scheduled events, large-scale activations, or business needs.
- Requires the ability to manage multiple priorities in a fast-paced environment while meeting deadlines and responding to changing operational needs.
- Frequent communication and collaboration with employees, leadership, vendors, retail partners, and cross-functional departments in person, by phone, email, and virtual meeting platforms.
- Must be able to travel locally and occasionally throughout the company's service areas as business needs require.
