RMIT Vietnam is seeking a Senior Coordinator, HDR Admissions & Scholarships to be responsible for leading the administration of Higher Degrees by Research (HDR) admissions and scholarship processes at RMIT Vietnam, ensuring services are delivered efficiently, accurately, and in compliance with university policies and regulations. The role works closely with stakeholders across RMIT Vietnam and Australia to provide expert advice, manage complex admissions and scholarship matters, coordinate recruitment and scholarship activities, and drive continuous improvement initiatives to enhance the candidate experience.

POSITION SUMMARY

The Senior Coordinator, HDR Admissions and Scholarships has responsibility for leading the administration of Higher Degrees by Research (HDR) admissions and scholarships for the HDR cohort based at RMIT Vietnam. The role operates with a high level of autonomy within established policy and strategic directions set by the Assistant Manager, HDR Programs and the School of Graduate Research (SGR), RMIT Australia.

Working closely with the HDR Admissions and Scholarships team in SGR, HDR Delegated Authorities (DAs), and stakeholders across RMIT Vietnam and RMIT Australia, the Senior Coordinator oversees prospective student enquiries and applications, and ensures the effective and compliant coordination of admissions and scholarship processes. The incumbent provides authoritative policy, procedural and process advice to staff, applicants and candidates, and exercises sound judgement in resolving complex admissions and scholarship matters in consultation with the Assistant Manager, HDR Programs. The role also contributes to reporting, audit and continuous improvement activities related to HDR admissions and scholarships.
 

Key Accountabilities Summary

  • Oversee the day-to-day operations of HDR admissions and scholarships for RMIT Vietnam to ensure effective, timely and compliant administration, including high quality advice and support to candidates, supervisors, schools and stakeholders across RMIT Vietnam and RMIT Australia.
  • Manage HDR enquiry channels and ensure the timely, accurate and customer focused resolution of admissions and scholarships related matters, escalating complex or sensitive issues to the Assistant Manager, HDR Programs as appropriate.
  • Plan, coordinate and monitor the effective delivery of HDR scholarship rounds in Vietnam, including scheduling, communications, documentation and follow up, in alignment with university policies and timelines.
  • Act as a subject matter expert on HDR admissions and scholarship regulations, procedures and systems, providing authoritative advice consistent with university policy, regulatory obligations and RMIT Vietnam contextual requirements.
  • Lead the planning, coordination and delivery of HDR admissions and scholarship events and activities (e.g. PhD Information sessions, scholarship ceremonies), including stakeholder engagement, event logistics, communications, supplier coordination, budgeting, administrative and financial processes (e.g. purchase orders and payment processing), and post-event evaluation to ensure a high-quality participant experience.
  • Collaborate with teams across the Office for Research & Innovation (ORI) and the broader Research & Innovation (R&I) portfolio to support the recruitment, admission and onboarding of industry embedded HDR candidates, contributing expertise on admissions and scholarship processes.
  • Maintain oversight of, and ensure the accuracy and consistency of, HDR program and scholarship information across RMIT Vietnam websites, SharePoint, presentations and other communication channels, establishing and leading regular review cycles.
  • Contribute to reports, analyses and insights on HDR admissions and scholarships for executives, schools and other stakeholders, and support HDR and scholarship budgeting and financial management processes, including monitoring stipend payments and documentation.
  • Proactively identify, recommend and implement continuous improvement initiatives to enhance HDR admissions and scholarship processes, systems and candidate experience, and undertake other duties as directed, consistent with the scope and classification of the role.
  • Other duties commensurate with the scope of the role.

Key Selection Criteria

  • Bachelor’s degree or higher, with substantial administrative experience in a complex environment, including demonstrated ability to manage competing priorities and deliver work with a high level of accuracy and attention to detail. Experience in HDR admissions and scholarships is highly desirable.
  • Proven ability to interpret complex policies and guidelines and accurately extract and manage key information.
  • Demonstrated ability to deliver high-quality service excellence and build positive relationships with prospect candidates, supervisors, and other stakeholders through a professional, responsive and welcoming approach.
  • Highly developed interpersonal, verbal and written communication skills, with the ability to engage effectively with diverse academic and professional stakeholders.
  • Excellent organisational and time management skills, with the ability to manage multiple tasks and adapt to changing priorities and deadlines.
  • Demonstrated ability to work both collaboratively within a team and autonomously in a broad direction.
  • Strong analytical and problem-solving skills, with the ability to contribute to continuous improvement initiatives.
  • Demonstrated proficiency in Microsoft Office applications and experience using information and data management systems.
  • Appointment to this position is subject to passing a Working with Children check.
