Overview
We seek a highly organized, proactive, and exceptionally discreet Chief of Staff to provide comprehensive support to a private principal on the Upper East Side, managing his affairs, his household, and the team that runs it.
This is a senior, hands-on role for someone who thrives in a fast-paced environment and takes genuine pride in anticipating needs and making life easier for the Principal and his two young children. The Chief of Staff is the single point of accountability across the household and business. This includes hiring and managing all domestic staff, running the
apartment, overseeing the children's schedules, managing travel, and serving as the Principal's liaison to the family office business.
This is a family-centered household with children aged two and three. The Principal is a single father with shared custody, so the children are in residence roughly half the time on a set rotation, and the household runs on preparation. The ideal candidate genuinely enjoys that environment and adapts easily to shifting priorities; it is a meaningful part of the role rather than an occasional add-on.
Schedule
Monday through Friday, 8:30 a.m. to 6:30 p.m. Weekend availability is required only when traveling with the Principal.
Responsibilities
Staff Management
• Source, interview, hire, and onboard all staff, including the nanny, housekeeper, chef, and security team.
• Manage staff schedules, coverage, and time off, and ensure continuity when someone is out.
• Set expectations, hold staff to them, and keep routine staffing matters off the Principal's desk.
• Build positive working relationships across the household and family office teams.
Children & School
• Work with the nanny to manage the children's daily and weekly schedules and keep the household ahead of them.
• Coordinate with the nanny on school scheduling, calendars, and logistics.
• Track outstanding school items and surface them to the Principal in advance rather than at the deadline.
• Partner with the nanny on meal planning and activities, keep the children's toys and wardrobe organized, and track what they are outgrowing.
• Recommend and source new clothing, gear, and toys for the children, presenting options to the Principal for approval.
Home, Property & Vehicles
• Oversee the apartment, including maintenance, repairs, deliveries, and building coordination.
• Manage vendors and service providers end-to-end.
• Oversee the family vehicles, including service, registration, and scheduling.
• Manage the family dog, including the walker's schedule and veterinary appointments.
• Organize and maintain the Principal's extensive wardrobe, including seasonal rotation, inventory, and the offsite storage facility holding additional clothing.
• Support future moves, including working with realtors, coordinating with buildings, and managing packing and logistics.
Travel & Calendar
• Coordinate extensive domestic and international travel, including flights, accommodations, ground transportation, itineraries, and last-minute changes.
• Travel with the Principal as required.• Manage the Principal's calendar with a forward-looking view, identifying conflicts and scheduling inefficiencies before they arise.
• Schedule and manage the Principal's medical appointments, and manage his medications, including refills, pickups, and keeping him supplied while traveling.
Administrative & Family Office
• Manage bill payment and keep records organized and accessible.
• Serve as liaison to the family office across accounts payable, finance, and legal.
• Track office items requiring the Principal's attention and ensure nothing sits unaddressed.
• Scan, organize, and route receipts, invoices, and documentation to the appropriate team.
• Handle personal errands, purchases, returns, reservations, and ad Hoc requests.
Qualifications
- The ideal candidate is polished, resourceful, intuitive, and highly organized, with excellent communication and problem- solving skills. They take ownership of the role rather than working through a task list.
- This household is navigating a divorce. The right person is unflappable, maintains firm professional boundaries, and is comfortable operating in a home where staff matters occasionally intersect with a legal process. The Chief of Staff will report to the father.
- The Principal values hard work, loyalty, and people who take genuine pride in their work. Team members are expected to be invested, demonstrate strong follow-through, and contribute wherever needed.
Requirements
- Minimum 5 years' experience as a Chief of Staff, House Manager, or senior Personal Assistant in a private household or family office, including direct experience hiring and managing household staff.
- Comfortable and effective around young children.
- OK with dogs.
- Non-smoker.
- Exceptional organizational and time-management skills, with strong attention to detail.
- Highly proactive, resourceful, and solutions-oriented.
- Exceptional discretion and demonstrated ability to maintain confidentiality.
- Professional, polished, and comfortable representing the Principal.
- Proficiency in Google Workspace and expense tracking, and quick adoption of new technology.
- Valid passport and willingness to travel domestically and internationally.
- Willingness to work outside standard business hours when needed.
- Verifiable references required. Legal to work in the U.S. Comfortable signing an NDA.
