Specialist, Travel & Expenses
As a Specialist, Travel & Expenses, you will play a key role in ensuring the accuracy, compliance, and efficiency of Elekta’s global Travel & Expense (T&E) processes. Working within our finance operations environment, you will independently manage end-to-end T&E activities while supporting continuous improvement, standardization initiatives, and service excellence.
You will collaborate with colleagues across the business, providing guidance on travel and expense policies, supporting employees with inquiries, and helping maintain strong financial controls. This is an excellent opportunity for a finance professional who enjoys working in an international environment and driving process improvements.
What You’ll Do At Elekta
Responsibilities
- Audit employee expense reports accurately and in a timely manner to ensure compliance with company policies and applicable regulations.
- Review and communicate expense discrepancies to employees and provide guidance on corrective actions.
- Support employees, managers, and business partners with questions relating to expense reports, travel bookings, corporate cards, policy compliance, and T&E processes.
- Collaborate with the wider Travel & Expense team to resolve operational issues and effectively manage workload fluctuations.
- Prepare analyses, reports, and reconciliations to support Travel & Expense operations and management reporting.
- Maintain and reconcile T&E-related accounts, ensuring data accuracy and completeness.
- Provide expertise and guidance on T&E policies, reporting requirements, and best practices.
- Handle complex or non-routine cases independently and support colleagues with issue resolution.
- Identify and recommend opportunities to improve processes, controls, and service delivery.
- Contribute to process standardization initiatives, including documentation, policy clarification, knowledge sharing, and training activities.
- Support internal and external audits by providing required information and documentation.
- Prepare T&E-related statistics and facilitate meetings and calls with internal stakeholders and local organizations.
What You’ll Bring
- 2-3 years of relevant experience in Travel & Expense, Accounts Payable, Finance Operations, or a related finance function.
- Strong numerical and analytical skills with a high level of attention to detail.
- Knowledge of VAT principles and their application within expense processing.
- Excellent verbal and written communication skills.
- Experience working with integrated finance systems, ERP platforms, or expense management tools.
- Proficiency in Microsoft Office applications, particularly Excel, Outlook, and SharePoint.
- Ability to prioritize tasks, work independently, and meet deadlines in a fast-paced environment.
- Experience working within an international Shared Services or Global Business Services environment is an advantage.
- Fluent English language skills; additional European or other languages are considered beneficial.
- Continuous improvement mindset with a proactive and collaborative approach.
