Clinical Scheduling Assistant Bilingual - Sharpstown (Job Overview)

Schedule: Monday-Friday (8:30AM-5PM)

As a Bilingual Clinical Scheduling Assistant at Legacy Community Health, you’ll play an important part in helping patients receive timely, coordinated care. By monitoring provider schedules, following consistent scheduling guidelines, and supporting real-time clinic flow through Legacy’s electronic health record system (EHRS), you’ll help connect people with the care they need.

Key Responsibilities

  • Work with Front Desk staff, Lead Medical Assistants (MA), the Clinical team (Provider and MA), Care Team Assistants (CTA), patients, scheduling staff at Legacy Contact Center, and possibly hospital patient navigators to monitor overall flow and optimize provider schedules in real time.
  • Coordinate and initiate communication regarding day-to-day scheduling and real-time patient scheduling following guidelines established by Legacy Community Health.
  • Help investigate scheduling mistakes and elevate repeated mistakes to the appropriate individuals.
  • Take action to manage scheduling issues in various scenarios and move patients in schedules as indicated.
  • Use wait lists and reports to schedule same-day or next-day appointments, including established patient WWE and procedure wait lists, new patient and new initial maternity wait lists, call-back reports for out-of-care and/or uncontrolled disease state lists, and chronic disease management wait lists such as HIV.
  • In consultation with the clinical team, take action with patients who may need expedited scheduling due to illness.
  • Work with Site Leadership to maintain a list of per diems, locum tenens, and alternative providers who may be able to cover needed shifts.
  • Work to expedite appropriate scheduling of walk-in patients, including newborns.
  • Serve as the point of contact for Contact Center staff when working patients in for same-day visits.
  • Assist with reminder calls as needed.
  • Assist with managing portal messages for the assigned site.
  • Update patient registration information as needed, including the responsible provider, demographic information, pharmacy information, and other relevant details.
  • Attend trainings as requested and/or required by Legacy and quickly assimilate new knowledge into processes and procedures.
  • Perform other duties as assigned.

Minimum Qualifications

  • High School Diploma
  • Medical Assistant-Certified or EHRS medical documentation training
  • Must maintain BLS /CPR

Required Knowledge, Skills, and/or Abilities

  • Previous experience in a medical clinic setting.
  • Proficient in entering data in an EHRS
  • Excellent written and oral communication skills
  • Strong ability to work both independently and as a team to accomplish organizational goals.
  • Communicate in a clear, concise and diplomatic manner
  • Self-motivated and able to demonstrate problem solving
  • Willing to communicate frequently via phone with patient
  • Spanish-speaking required
