The Garvan Research Foundation (GRF) was founded in 1981 and is the fundraising and marketing arm of the Institute, raising awareness and vital funds from individuals, trusts and foundations and corporate and community groups. 

THE OPPORTUNITY

The Mid-Value Donor Co-ordinator will report to the Mid-Value Officer as part of a collaborative two-person team working to grow the mid-value program. As the fastest growing area in fundraising, this role offers an opportunity to build genuine, lasting relationships with donors through personalised phone calls, written communications and in person events — moving donors along the giving pathway from mass/annual giving towards major and planned giving.

The role requires an outstanding communicator who is equally comfortable on the phone, in writing and in person, and who can represent Garvan’s mission with warmth and professionalism.

Salary: Up to $70,000 + super + salary packaging (depending on experience).

WHAT YOU WILL DO

Supporter Care and Stewardship

  • Provide exceptional customer service and relationship management of Garvan’s mid-value donors, visitors and special guests at all times. This is also reflected across all channels of communications including phone calls, written communications and

face-to-face.

  • All phone calls aim to build authentic relationships with our supporters through exceptional active listening, ensuring donors feel valued, heard and understood as we provide information on Garvan communications and guide them along their unique donor journey.

  • Make regular, personalised phone calls to thank, engage, renew and upgrade mid-value donors — delivering a genuinely warm and professional donor experience.

  • Respond to research enquiries from supporters in a timely and sensitive manner.

  • Write and personalise donor correspondence, including thank-you letters, impact reports, appeals and email communications, ensuring tone and content reflect each donor's history

  • Deliver proactive donor care communications by phone, mail or email to mid-value supporters who require a timely touch point in their donor journey e.g. after a donation, after further information has been provided, prior to an appeal, EoFY receipt or Breakthrough magazine.

  • Respond to all mid-value donor gifts in Wills and campaign enquiries in a timely, professional, and sensitive manner.

  • Assist to identify donors with capacity to increase their giving, and work with the Future Giving, Philanthropy and Individual Giving team to transition suitable donors into higher-value relationships.

  • Maintain accurate, up-to-date donor records and interaction notes in the CRM/database, ensuring all contact points are logged and actioned in a timely manner.

  • Respond promptly and professionally to donor enquiries, feedback and complaints, escalating as needed.

  • Support broader fundraising, donor stewardship and organisational events as required.

Database and Administration
 

  • Exceptional best practice maintenance of detailed and accurate supporter records and profiles including, data entry, recording conversation and meeting notes, scanning and uploading of relevant documents.

  • Working closely with the Data & Business Insights team when requesting queries, data files and analysis/reports.

  • Assist with research to identify new prospects.

  • Review data for mailing lists to assist with the delivery of appeals, gifts in Wills campaigns, internal publications, and events.

  • Ongoing administration including printing, scanning, mail merging, filing, record keeping, note taking and booking meeting rooms.

Communications, Planning and Reporting

  • Conduct communications either by mail, email, or phone to qualify supporters in their donor journey.

  • Coordinate the sending of gifts in Wills enquiry, prospect, and conversion packs in a timely manner.

  • Prepare and draft timely and personalised communications including welcome letters, with compliments slips, ad-hoc letters, and certificates.

  • Coordination of additional acknowledgement communications as appropriate by mail, email, or phone.

  • Coordination and personalisation of supporter birthday cards throughout the year.

  • Assist the Mid-Value Officer with individual mailings and direct mail campaigns for the mid-value product.

  • Assist with the integration of Foundation program activities with the operations of the wider Foundation team to ensure our relationships with donors are handled seamlessly, efficiently, and effectively.

  • Assist with detailed proofing of internal and external communications across the program communications.

  • Assist with coordination and delivery of yearly strategic plans, area work plans and related projects.

Event Engagement Activities

  • Assist in the development and on-the-day delivery of Morning Teas, personalised tours, and other engagement activities to engage with mid-value donors.

  • Assist in the development of objectives, timelines, event program and run sheets.

  • Coordinate event RSVPs and guest lists.

  • Attend and assist at other Foundation functions, such as public seminars and tours,

external presentations, or high value donor events.

  • Assist in reporting of event outcomes and recommendations.

ABOUT YOU

  • Tertiary qualifications in fundraising/marketing and/or a related field desirable, but not essential; we highly value diverse backgrounds and transferable skills.

  • Also open to disciplines of Telemarketing, Communications, Health, Science, Nursing, Events/Hospitality and Human Resources.

  • 1-2 years’ experience in fundraising or marketing, desirable but not essential.

  • High attention to detail and comfort working within a CRM/donor database. Raisers Edge/NXT experience is desirable but not essential.

  • A warm, confident telephone manner and genuine enjoyment of donor conversations.

  • Excellent interpersonal and communication skills, with demonstrated ability to build rapport and trust across phone, written and face-to-face channels.

  • Exceptional telephone manner, customer service and relationship-building skills.

  • Proven ability to maintain good relationships with external and internal stakeholders.

  • Excellent level of computer skills (MS Office/Google products including Word, Excel, PowerPoint, Outlook and Zoom).

  • Experience in administration with a process-driven approach also including merging data for emails/letters, record keeping, note taking, printing, and scanning.

  • Excellent attention to detail.

  • Strong written communication skills, with the ability to write persuasive, donor-appropriate correspondence and adapt tone to the audience.

  • Capability to use online project management tools, such as Airtable, Trello and similar platforms, to efficiently manage tasks, track progress, and collaborate with teams.

  • Strong organisational skills and the ability to assist with a portfolio of relationships and competing priorities.

  • Ability to work harmoniously in a small team and can work effectively and independently without supervision, while collaborating with the broader Foundation.

  • Calm, positive, ‘can do’ attitude and an excellent work ethic at all times.
