Description
Do you love being the person who keeps everything running — hiring great people, solving the "why won't this printer work" mystery, and making sure nothing falls through the cracks? We're looking for a proactive, detail-loving Operations & HR Coordinator to join our small-but-mighty Scientific Adventures for Girls (SAfG) team. If you thrive on variety, love a good checklist, and want your work to directly support girls discovering a love of STEM, you're in the right place. (No two days look the same in this role!)
The Operations & HR Coordinator position is part-time, hourly, non-exempt. This role reports directly to the Director of Operations and plays a central part in recruitment, HR, office support, and day-to-day operations across our organization.
COMMITMENT:
- 25 - 28 hrs / week
- Monday - Friday; specific days and hours to be finalized
- Required in the office 3 days per week and 1 day remote (hybrid schedule)
- Based out of our Berkeley office, with occasional local errands (e.g., PO Box runs)
WHY WORK WITH US?
- Regular Position: Job security as a regular employee, with room to learn and grow in your role.
- Competitive Salary: $24.00 - $29.00 per hour (depending on experience)
- Meaningful Work: Your organization and follow-through directly power a mission that gets girls excited about STEM.
- Variety & Growth: Recruitment one hour, IT troubleshooting the next, planning a team celebration after that — this role never gets stale.
- Perks and Benefits: We value our team and offer a range of benefits including health, dental, vision, professional development, and more.
- Team Culture: We're a small, supportive, collaborative team that loves to have fun and celebrate together.
YOUR ROLE IN A NUTSHELL
As our Operations & HR Coordinator, you'll be the right hand to our Director of Operations and a go-to resource for the whole team. Your role includes:
- Supporting in Finance, HR, IT, Office and Operations
- Leading the front end of recruitment: posting open roles, screening applications, scheduling interviews, and conducting first-round candidate interviews.
- Drafting offer letters and job description agreements from established templates, and keeping recruitment and HR documents current and easy to find.
- Supporting to onboard new hires smoothly and HR ongoing work.
- Being the first person staff turn to — for a computer glitch, a jammed copier, or a "where do I find..." question.
- Keeping the office running behind the scenes: supplies, vendors, the PO Box, and the countless small things that make a workplace function.
- Renaming and organizing vendor receipts and supporting general expense documentation (no payroll or retirement account work involved).
- Planning and leading fun team-building activities and sending out our weekly staff email.
- Spotting opportunities to make our systems and processes more efficient — and speaking up about them.
WHAT WE'RE LOOKING FOR:
A qualified candidate will possess a combination of the following education and/or equivalent experience:
- 2-4 years of experience in office administration, human resources, recruitment, or operations, or a related field.
- Excellent verbal and written communication skills.
- Strong organizational skills, attention to detail, and follow-through.
- Comfort troubleshooting basic technology issues (computers, printers, copiers) and knowing when to escalate.
- A proactive mindset — someone who anticipates needs and manages up effectively.
- Flexibility and the ability to pivot quickly as priorities shift.
- Comfort working in a small office where everyone wears many hats.
- Proficiency with HR Platforms, CRM Databases, Asana and Google Workspace.
Nonprofit experience is a plus, but not required.
PHYSICAL ENVIRONMENT:
To perform this job successfully, an individual must be able to perform each essential job duty satisfactorily. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform essential job functions.
- Ability to work at a computer and perform repetitive motions 70% of the time.
- Ability to occasionally lift and move office supplies and equipment up to 40 lbs.
- Ability to travel locally as needed (e.g., PO Box, office errands).
- Ability to be physically present in the office 3 days per week.
