Position Summary:
This Client Service/Concierge role serves as the concierge and administrative backbone of the team, combining hands-on client service expertise with broad client care and office operations support. This position owns the service line’s billing process end-to-end — including accounts receivable aging, client billing questions, and coordination with internal accounting — while also managing new client onboarding, engagement letter processing, expense reporting, software administration, event scheduling, and client appreciation initiatives.
The Client Service/Concierge acts as backup for accounts payable and serves as the team’s expert on the AP platform. This position requires excellent organizational skills, strong attention to detail, sound judgment with confidential financial information, and a commitment to providing friendly, professional, and proactive client service. The role also involves identifying and driving process improvement and supporting the team’s automation initiatives.
Primary Responsibilities
- Serve as the service line's billing liaison with internal accounting - Coordinate with internal accounting on billing entries, reconciliations, and reporting. Manage accounts receivable aging; follow up on outstanding balances and escalate collection issues as needed. Respond to client billing questions and process billing changes and adjustments.
- Send onboarding emails and communications for new clients.
- Process and send engagement letters for new clients.
- Process expense reports through Tallie for the team leadership.
- Manage software administration for the team, including licensing, access, and renewals.
- Schedule and coordinate team events.
- Administer client sponsorships, including tracking commitments and coordinating logistics.
- Serve as AP backup and the team's Ramp expert, supporting client accounts payable needs.
- Provide client care, including responding to client requests and ensuring a positive client experience.
- Coordinate client gifts and appreciation activities.
- Oversee process improvement initiatives for the team.
- Assist with automation initiatives to improve team efficiency.

Required Qualifications:
- High School diploma or equivalent.
- 2-4 years of administrative, billing, or accounting support experience, preferably including accounts receivable/accounts payable exposure
Skills & Competencies:
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Expert proficiency with Microsoft Office suite of products, Zoom, Teams and standard office equipment.
- Familiarity with billing, AR, and AP platforms (e.g., Ramp, Tallie, or similar tools) preferred.
- Commitment to confidentiality and maintaining discretion
- High degree of professionalism in working with diverse groups of people, including senior executives, colleagues, community leaders and clients
- Ability to manage multiple priorities in a fast-paced, dynamic environment
- Strong follow-through and time management skills
- Adherence to compliance policies and procedures
- Ability to exercise independent judgment in planning and prioritizing work
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times.
