Role Overview

The Advanced Therapies Intake Coordinator, RN serves as the clinical intake and patient support anchor for the cell and gene therapy care pathway, ensuring that every patient entering advanced therapy treatment is accurately assessed, tracked, and supported through the intake process that makes treatment possible. This role is responsible for nursing-informed intake review, ongoing coordination of patient applications for travel, lodging, and co-pay assistance, and the maintenance of accurate, up-to-date tracking of that support activity within Excel and Epic.

The Coordinator works closely with Cell and Gene Therapy coordinators, nurse navigation, financial clearance, and clinical social work colleagues to identify and resolve clinical or logistical gaps before they become barriers to care, bringing a nursing background to bear on how referral, treatment, and support-program data is interpreted and triaged. While this role does not require a clinical social work license, the Coordinator works side-by-side with the clinical social work team, complementing their psychosocial support with clinically informed intake review and hands-on management of travel, lodging, and financial assistance applications.

This role requires strong organizational discipline and the interpersonal ability to work effectively across clinical, operational, and administrative teams in a fast-paced, high-acuity environment. The ideal candidate is a registered nurse with a strong data and systems orientation, comfortable working daily in Epic and Excel, and eager to apply their clinical background to the operational nuances of advanced therapies such as cell and gene therapy.

Key Responsibilities

  • Review and interpret non-clinical and clinical intake data with a nursing lens, including referring physician, referring practice, diagnosis, and treatment pathway details, to ensure accurate and complete patient records
  • Own and maintain patient tracking spreadsheets and Epic records related to intake, ensuring data is current, accurate, and accessible to cross-functional partners
  • Support and track patient applications for travel, lodging, and co-pay assistance, working with Duke Health resources and individual therapy manufacturers to ensure patients are connected to available support and that applications are completed successfully
  • Maintain accurate, up-to-date Excel-based tracking of travel, lodging, and co-pay/financial assistance applications, including status, approvals, and follow-up actions needed
  • Coordinate closely with nurse navigation and financial clearance teams to validate intake data and ensure a seamless, clinically informed handoff across the care pathway
  • Partner day-to-day with clinical social workers, complementing their psychosocial and financial-navigation work with clinical intake expertise and ownership of travel, lodging, and co-pay tracking
  • Proactively identify data gaps, inconsistencies, or clinical flags that could slow down or delay patient care, and escalate or resolve them quickly
  • Serve as a reliable, clinically knowledgeable point of contact for cross-functional teams navigating the intake and patient support process
  • Support the continuous improvement of intake and patient support tracking tools and processes as the advanced therapies program evolves

Qualifications

  • Active Registered Nurse (RN) licensure in North Carolina (or eligibility for NC licensure/compact license)
  • 5+ years of nursing experience; experience in cell and gene therapy or other advanced/complex therapy programs strongly preferred
  • Fast learner with a demonstrated ability to rapidly absorb the operational and clinical nuances of advanced therapies, such as cell and gene therapies, and how those nuances impact patient data and support needs
  • Experience with Epic EHR systems, including comfort navigating and documenting within Epic as part of daily workflow
  • Strong ability to work with patient data in Excel, including tracking and managing patient applications for travel, lodging, and co-pay support
  • Excellent organizational capabilities, with the ability to manage multiple data sources and priorities simultaneously
  • Ability to manipulate and sense-check data rapidly and with no errors
  • Experience working across healthcare teams, including clinical, administrative, and operational stakeholders
  • Strong written and verbal communication skills, with the ability to coordinate effectively with clinical social workers, nurse navigators, and administrative leadership
  • Familiarity with patient tracking, financial assistance and manufacturer support programs, and referral management systems within a health system environment

Preferred Experience

  • Prior nursing experience in cell and gene therapy, oncology, bone marrow transplant, or other advanced/complex therapy programs
  • Experience with manufacturer-sponsored travel, lodging, or co-pay assistance programs
  • Experience working within an academic medical center or health system with a dedicated cell and gene therapy or bone marrow transplant program
  • Experience working with pediatric patient populations
