Description

Overview
As part of Human Resources' Employee Experience team, the Learning and Development Coordinator provides administrative and logistical support for the training programs that serve more than 3,000 New York Public Library staff. Reporting to the Associate Director of Talent Development and Engagement, this role administers the Library's learning management system, coordinates logistics and co-facilitates portions of new hire Welcome Day onboarding, supports the development of e-learning content, and assists the Learning and Development team in delivering training across the organization. This position is well-suited to someone motivated by a career in human resources, learning and development, or instructional design.

Some expectations for this role are that within:
1 month, this person will:
  • Complete role onboarding, including required compliance training.
  • Meet with the Human Resources team to learn all the sub-functions of the department, including Human Resource Business Partners and Talent Acquisition Partners.
  • Observe Welcome Day sessions.
  • Learn to navigate Bridge, the Library's learning management system, including locating courses, assigning learning, and running standard reports.
3 months, this person will:
  • Independently handle day-to-day learning management system administration, including course assignments, enrollment, completion tracking, and standard reporting.
  • Coordinate the logistics of Welcome Day, including scheduling, registration, materials, room or virtual setup, and participant communications.
  • Prepare facilitation materials and handouts for training sessions led by other members of the Learning and Development team.
6 months and beyond, this person will:
  • Co-facilitate one or more segments of Welcome Day.
  • Make updates, using instructional design methodology, to at least one existing or new e-learning module under the guidance of the Associate Director.
  • Compile participant feedback and completion data into a summary report.
Responsibilities:
  • Administer the Bridge learning management system (LMS): assign and enroll courses, track completions, run reports, and maintain accurate learning records for compliance purposes.
  • Coordinate the logistics of training sessions and onboarding programs, including scheduling, registration, participant communications, materials preparation, and room or virtual meeting setup.
  • Coordinate and co-facilitate "Welcome Day" onboarding sessions and other workshops alongside members of the Human Resources team.
  • Assist with content development by formatting, updating, and proofreading existing e-learning modules and training materials, applying instructional design methodology under the guidance of senior Learning and Development team members.
  • Support project teams working on new learning initiatives by scheduling meetings, taking notes, collecting input from Subject Matter Experts (SMEs), and tracking action items and deadlines.
  • Compile and summarize participant feedback and completion data, and prepare draft reports.
  • Respond to routine staff inquiries about training and course access, and route incoming training requests to the appropriate member of the Learning and Development team.
  • Maintain the team's training calendar, shared files, and program documentation.
  • Perform other related duties as required.


Required Education, Experience & Skills

Required Education and Certifications
  • Bachelor's degree, or an equivalent combination of education and experience.
Required Experience
  • 2+ years of combined experience, including internship, student employment, fellowship, or volunteer experience, in a role involving training, teaching, tutoring, instructional support, program or event coordination, or administrative support for a team.
  • Experience creating instructional or informational materials for an audience, such as training decks, guides, tutorials, onboarding materials, or presentations.
  • Exposure to a learning management system, e-learning authoring tool, or comparable platform, through coursework, internship, or work experience.
Required Skills
  • Strong organizational skills and attention to detail, with the ability to track many small tasks and deadlines accurately.
  • Strong written and verbal communication skills, including the ability to write clear, welcoming emails and instructions for staff audiences.
  • Public Speaking & facilitation skills
  • Proficiency in Microsoft Office and Google Workspace, including the ability to use Excel or Sheets to enter, sort, filter, and summarize data.
  • Aptitude for learning new software quickly, including learning management systems and e-learning authoring tools.
  • Ability to handle confidential employee information with discretion.
  • Collaboration skills
  • Working knowledge of generative AI tools and their application to content development.
Managerial/Supervisory Responsibilities:
  • This position has no direct or indirect reports and no supervisory responsibility

Schedule
  • 35 hours per week, Monday through Friday, 9:00 a.m. to 5:00 p.m.
  • Occasional variation in schedule may be necessary to support training delivery for staff. 
  • This is a hybrid position requiring 3 days onsite per week; Tuesday & Thursday (required anchor days) + one other day (subject to change).
