Job Description

As an Open Record Coordinator with OMES you will enjoy:

Job Details

  • Full-time, 40 hours per week in office position
  • Support the Legal team
  • Salary up to $65,000.00 based on education and experience

Responsibilities

  • Intake and track open records requests; maintain detailed case notes and files; manage all aspects of case management including intake, docketing, reviewing records, preparing documentation, and assessing/applying fees.
  • Conduct thorough reviews of documents; apply redactions to ensure compliance and protect sensitive information; prepare records for release and review publicly posted data.
  • Demonstrate in-depth knowledge of the Oklahoma Open Records Act, including exemptions; draft responses and coordinate disclosures across agency divisions.
  • Handle complex requests (2,000+ pages), ensuring accuracy and compliance; interact professionally with requestors to clarify overly broad or burdensome requests.
  • Ensure released materials exclude information exempted under statutes or other non-releasable information.
  • Prepare information for secure file transfer to requesting parties.
  • Optimize processes, eliminate redundancies, leverage technology, and embrace innovative approaches to improve outcomes.
  • Assist with reviewing, formatting and filing agency rules under the Administrative Procedures Act.

Physical Demands and Work Environment

  • This position works in a comfortable office setting with a computer for a large percentage of the workday. The noise level in the work environment is typically mild. This position requires the ability to stand, reach, and bend, operate office machinery, ascend/descend stairs, and lift up to 25 lbs. 

Minimum Qualifications

  • Bachelor’s degree in Paralegal, Legal Studies, or a closely related field; and
  • Two (2) years of experience in paralegal or administrative duties;
  • Or an equivalent combination of education and experience, substituting one year of relevant experience for each year of required education

Preference will be given to candidates who possess

  • Paralegal Certification or demonstrated ability in managing e-discovery requests
  • Experience in open records management and case processing for state agencies
