Job Description
The Lease Administration Manager leads the team responsible for lease compliance functions. This role ensures the accuracy and integrity of lease-related financial and contractual obligations while supporting the company's mission of maintaining efficient store operations and delivering exceptional service to customers and team members. The Manager is responsible for overseeing the monthly rent roll, vendor setup and maintenance, landlord reimbursement collections, estoppels, SNDAs, insurance certificates, lease database management, and lease compliance activities. The role works closely with Accounting, Legal, Property and Portfolio Management, Facilities, and other business partners to ensure accurate reporting, timely payments and collections, and compliance with company policies and lease requirements.
What will you do?
Lease Administration & Financial Management
- Lead and oversee the monthly enterprise rent roll, ensuring the accuracy and timely processing of rent and lease-related payments.
- Ensure landlord reimbursements, tenant recoveries, and other lease-related receivables are billed, collected, and reconciled timely.
- Manage aging receivables and collection efforts for subleased properties.
- Partner with Accounting to reconcile lease-related general ledger accounts and resolve discrepancies.
- Support internal and external audit requirements and ensure compliance with financial controls and accounting standards.
- Provide accurate reporting, analysis, and key performance metrics to senior leadership.
Lease Compliance & Documentation
- Oversee the administration and/or execution of lease-related documents, including estoppels, SNDAs, amendments, waivers, defaults, and other legal notices.
- Ensure compliance with lease obligations and proactively address lease-related issues and risks.
- Manage the timely issuance and tracking of insurance certificates required under lease agreements.
- Partner with Legal, Risk Management, Facilities, and Real Estate teams to support lease administration activities and resolve compliance matters.
- Database Management & Process Improvement
- Lead the administration and maintenance of lease and real estate databases to ensure data accuracy, consistency, and accessibility.
- Oversee lease abstraction, validation, and data governance processes.
- Develop and implement procedures, workflows, and quality control measures to improve efficiency and reduce risk.
- Collaborate with internal stakeholders to enhance system functionality and reporting capabilities.
- Manage third-party vendors supporting lease administration, abstraction, data validation, and technology initiatives.
Leadership & Team Development
- Lead, coach, and develop a team of Lease Administration professionals.
- Establish performance expectations and provide ongoing training, mentoring, and career development opportunities.
- Foster a collaborative, customer-focused, and results-oriented team environment.
- Drive continuous improvement initiatives and implement strategic departmental objectives.
- Effectively communicate priorities, lead change, and influence cross-functional partners to achieve business goals.

- Strong knowledge of lease administration, lease compliance, rent management, real estate accounting, accounts payable and receivable processes, and overall real estate operations.
- Demonstrated ability to manage complex financial, compliance, and operational processes with a high degree of accuracy and attention to detail.
- Advanced analytical, organizational, problem-solving, and decision-making skills, with the ability to interpret lease agreements and manage multiple variables and priorities.
- Proficiency in Microsoft Office Suite, including advanced Excel skills, along with strong systems aptitude and experience working with real estate and financial systems.
- Clear understanding of real estate accounting principles, lease-related financial obligations, reconciliations, vendor payments, and financial record management.
- Proven ability to build effective partnerships and collaborate across multiple departments, vendors, and all levels of management.
- Demonstrated leadership capabilities with experience developing talent, driving accountability, and executing strategic initiatives while maintaining operational excellence.
- Excellent written and verbal communication skills, including the ability to communicate complex lease, financial, and compliance matters effectively.
- Self-motivated with the ability to work independently, prioritize competing demands, and maintain a high level of energy, initiative, and professionalism.
- Ability to balance strategic leadership with hands-on execution to ensure lease compliance, rent accuracy, financial integrity, and operational efficiency.
- Preferred: experience or knowledge with lease administration software (ex. Lucernex)
EDUCATION and/or EXPERIENCE
- Bachelor's degree (B. A.) from four-year college or university and a minimum of 5 years of experience with administrative functions, invoice review, and payment processing in a leasing or real estate field; abstracting commercial real estate lease documents; or equivalent combination of education and experience.
Location & Work Availability:
This position is Hybrid (4 days in office, 1 day remote), based at our corporate headquarters in Raleigh, North Carolina.
Periodic travel across the United States and Canada as business needs require.
