The Finance Project Coordinator provides administrative, scheduling, documentation, reporting, and coordination support for Finance initiatives across digital and non-digital work. This role works under the direction of PMO leadership, project managers, or senior delivery team members to support organized meetings, timely follow-up, accurate project records, tracker maintenance, financial reporting inputs, and project repositories. This role does not own project delivery, project decisions, budget management, or direct stakeholder management responsibilities.
Responsibilities:
Project Planning Support
• Maintain assigned project planning materials, schedules, calendars, meeting materials, and project records based on direction from project leadership.
• Support updates to project planning materials and schedules based on direction from project leadership.
• Support project teams with administrative coordination, document organization, and repository maintenance.
• Support keeping planning materials and documentation current, organized, and accurate.
Project Coordination
• Coordinate meeting logistics, including scheduling, agendas, meeting materials, attendance support, meeting notes, action items, and follow-ups.
• Maintain action item trackers and follow up with owners on upcoming or overdue items based on direction from project leadership.
• Support project onboarding and access coordination, including maintaining project team lists and coordinating access to approved project tools and repositories.
• Attend assigned project or PMO meetings with PMO leadership or project managers to listen for key updates, decisions, action items, and follow-ups, and update approved trackers or documentation based on meeting outcomes and PM/PMO direction.
Administrative and Documentation Support
• Create, update, and maintain project documentation, trackers, logs, and project records as directed.
• Maintain project repositories, file organization, documentation version control, and approved project folders.
• Collect required information and inputs from internal teams, vendors, or project team members to support assigned administrative activities.
• Support preparation, formatting, and distribution of approved project communications, meeting materials, and documentation.
• Support updates to PMO templates, trackers, and process documentation as directed.
Project Reporting Support
• Compile project status information from project managers, project team members, and approved project sources.
• Prepare draft project status reporting materials and meeting updates for review by PMO leadership or project managers.
• Assist in maintaining assigned project or PMO trackers by updating information based on approved inputs and direction.
• Capture and enter financial tracking updates and financial reporting inputs in established templates or tools based on approved inputs, meeting discussions, and direction from PMO leadership or project managers.
• Follow up on missing, incomplete, or outdated status inputs as directed.
• Gather or organize documentation for audits and information requests as directed.
EDUCATION/CERTIFICATIONS
• Associate’s degree or equivalent work experience. (Required).
TECHNICAL/SOFT SKILLS
• Strong Microsoft Office skills. (Required).
• Ability to communicate effectively both verbally and in writing with team members and managers. (Required).
• Effective organization and time management skills, including the ability to organize information and manage multiple tasks and deadlines. (Required).
• Experience maintaining documentation, schedules, trackers, meeting notes, and administrative records. (Required).
• Familiarity with project management tools, systems, and reporting practices. (Preferred).
• Strong attention to detail and accuracy in data entry and documentation. (Required).
EXPERIENCE
• 2+ years of experience supporting projects, programs, teams, business operations, or administrative coordination. (Required).
• Experience performing administrative support activities, such as scheduling, documentation, meeting coordination, reporting support, or follow-up tracking. (Required).
• Experience working in a PMO, operations, technology, or business transformation team. (Preferred).
• Experience using Microsoft Office tools, including Excel, PowerPoint, Outlook, SharePoint, OneNote, Project, and Copilot. (Required)
• Smartsheet experience. (Preferred).
