Reporting to the RCMA Program Coordinator and/or Client Services Supervisor, the Refugee Cash and Medical Assistance (RCMA) Program Case Aide works in close coordination with RCMA Case Managers, other program staff, and community partners to provide timely, client-centered services to refugees and other Office of Refugee Resettlement (ORR)-eligible populations. The Case Aide supports the RCMA team by assisting with eligibility documentation, service coordination, transportation, appointment scheduling, referrals, data entry, and client follow-up activities. Responsibilities focus on working directly with clients in the field, in their homes, at partner agency locations, healthcare facilities, workforce development centers, and within the broader community. The Case Aide helps ensure participants successfully access Refugee Cash Assistance (RCA), Refugee Medical Assistance (RMA), employment services, and other resources that promote self-sufficiency and successful integration.

Responsibilities/Duties

  • Provide culturally responsive, linguistically appropriate, trauma-informed, and client-centered support to refugees and other ORR-eligible populations.
  • Assist RCMA Case Managers with service delivery and follow-up activities to support client self-sufficiency goals.
  • Support clients in completing applications and gathering documentation required for Refugee Cash Assistance, Refugee Medical Assistance, public benefits, employment services, and other program-related services.
  • Assist with client intake, orientation, enrollment, and eligibility verification activities.
  • Schedule appointments for clients with healthcare providers, workforce development agencies, public benefits offices, community organizations, and other service providers.
  • Conduct appointment reminders and client follow-up to ensure participation and service continuity.
  • Provide transportation assistance and accompany clients to appointments, interviews, and service provider meetings as approved by the program.
  • Assist clients in navigating healthcare systems, accessing medical services, obtaining prescriptions, and understanding available health benefits.
  • Coordinate interpretation services and provide language support when appropriate and authorized.
  • Assist clients with employment-related activities, including workforce program enrollment, job readiness workshops, and employment appointments.
  • Support clients in accessing community resources, including housing, food assistance, financial literacy programs, legal services, and behavioral health services.
  • Collect, organize, and maintain client documentation in compliance with program and contractual requirements.
  • Assist with maintaining accurate electronic and hard-copy case files.
  • Enter client information and service data into required case management databases and tracking systems.
  • Assist with quality assurance activities by reviewing documentation for completeness and accuracy.
  • Support outreach efforts to inform eligible individuals about RCMA services and available community resources.
  • Complete and compile information required for program reports and data collection activities.
  • Maintain confidentiality of client information and adhere to all agency, state, and federal privacy requirements.
  • Maintain up-to-date professional knowledge through training, workshops, and other professional development opportunities.
  • Participate in staff meetings, team case reviews, and program trainings as required.
  • Promote equitable, inclusive, and gender-responsive service delivery.
  • Perform other duties as assigned by the supervisor.

Qualifications

  • Associate's degree in human services, Social Work, Public Health, Sociology, Psychology, or a related field preferred; equivalent combination of education and experience may be considered.
  • Experience providing case management support, client services, social services, or administrative support preferred.
  • Experience working with refugees, immigrants, ORR-eligible populations, or individuals with limited English proficiency strongly preferred.
  • Knowledge of public benefits, healthcare systems, workforce development programs, or refugee services preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and database management systems.
  • Strong organizational skills with the ability to manage multiple priorities and maintain attention to detail.
  • Ability to work effectively in a fast-paced environment and adapt to changing client needs.
  • Strong interpersonal, communication, and relationship-building skills.
  • Ability to work both independently and collaboratively as part of a multidisciplinary team.
  • Experience maintaining confidential information and sensitive client records.
  • Reliable transportation, valid driver's license, current automobile insurance, and ability to travel locally on a regular basis.
  • Fluency in one or more languages commonly spoken by the client population is highly preferred, including but not limited to Arabic, Dari, Farsi, Pashto, French, Swahili, Kinyarwanda, Ukrainian, Russian, Spanish, Haitian Creole, or Burmese.
  • Demonstrated commitment to serving diverse populations through a trauma-informed, strengths-based, and culturally responsive approach.
