The Process Control Administrator will coordinate all aspects of a product or service offering for a client, from inception to installation to final delivery. They are responsible for various daily processes pertaining to proxy and non-proxy jobs. This position will be responsible for ensuring that proxy jobs are set up properly prior to distribution, ensuring accuracy and efficiently supporting Client Management Services to complete issuers' mailings for their shareholder meetings.
Key Job Functions/Responsibilities
Coordinate the receipt and application of project information received from Issuers or their agents to ensure compliance with Regulatory requirements.
Maintain client satisfaction through the seamless, timely coordination and delivery of accurately executed deliverables for Issuer clients.
Coordinate with the Client Management and Production Operations teams to ensure communication and actioning of regulatory requirements are met and communicated to issuers in advance of such requirements
Complete operational duties using Microsoft Access, Excel, internal systems, and mainframe applications.
Extract, enter, and maintain large volumes of alphanumeric data accurately and within required timelines.
Perform quality control by validating data, comparing output against source materials, and proofreading documentation for accuracy and grammar.
Identify document or job-detail deficiencies and report them to Client Management or the appropriate teams for resolution.
Receive and review dockets, samples, search cards, and Work Orders; verify job-related information and provide required sign-off.
Confirm that received and mailed materials match search-card and project requirements.
Communicate Canadian processing updates and coordinate with Receiving and Finance as needed.
Review issuer or agent mailing-project requirements to ensure compliance with applicable securities and corporate regulations.
Coordinate, document, schedule, and monitor regulatory mailings, including Notice & Access projects.
Work with Client Management, Production Operations, Sales, and clients to clarify job details, correct inconsistencies, and ensure regulatory compliance.
Support Client Management with analytical reports, meetings, profile maintenance, and mainframe system updates.
Assist in promoting and implementing services introduced through regulatory changes, including gathering internal and external client feedback for new products.
Document processes and procedures for new or changing regulatory requirements.
Understand and document client business needs, identify specifications, analyze requirements, and recommend appropriate solutions.
Help coordinate accurate, timely shareholder-meeting mailings.
Plan, track, and deliver quality products and services across assigned projects.
Keep the Senior Manager, Client Relations informed of developments requiring attention or action.
Perform additional duties as assigned or requested.
Be available for overtime during Proxy season and other periods of high client demand or processing volume.
Basic Skill Level Requirements
Education:
High School Diploma or equivalent.
Community College Diploma in Business Administration is an asset.
Experience:
5 years’ experience in a similar position or equivalent is preferred.
Knowledge and experience in Compliance, and Audit, is essential.
Exposure to printing and financial business operations is preferred.
Exposure to a detail-oriented environment.
Previous experience in the financial industry is an asset.
Skills:
Strong analytical, written and verbal skills.
Ability to work under pressure and manage multiple projects at one time
Good organization and time management skills
Ability to work both independently and in a team environment
Ability to communicate effectively with fellow associates, other departments, management, and outside vendors, as required.
Advanced proficiency for Microsoft Outlook, Word, Excel and Access.
Tools:
Windows environment.
All necessary advanced technological tools are provided.
Exposure to database systems is an asset.

Compensation
Salary Range: 47,000 – 52,000 (CAD). Compensation may vary depending on a number of factors, including a candidate’s qualifications, skills, competencies and experience, and location. Base pay is one part of the Total Package that is provided to compensate and recognize employees for their work, and this role may be eligible for additional discretionary bonuses/incentives, and restricted stock units.
