Position Summary

As Special Assistant to the CNM Ingenuity (CNMI) CEO, provides highly complex and responsible administrative support, ensuring efficient operations and enabling the CNMI CEO to focus on CNMI’s strategic initiatives. This role involves managing schedules, coordinating meetings, handling correspondence, and maintaining confidentiality in all executive matters. Ability to act as a liaison between the CEO’s Office and key internal and external stakeholders, facilitating communication and ensuring alignment with organizational goals. Stakeholders include, but are not limited to, the CNM Ingenuity Board, the CNM Governing Board, the CNM Holdings Board, staff, elected and appointed government officials, industry and community members, and regional and national education and workforce leaders. This position also serves as the administrative lead and staff coordinator for services associated with the primary administrative location, the CNM Workforce Training Center.

Duties & Responsibilities

  • Provides executive administrative support to the CEO of CNMI and overall operational support for the Ingenuity Board, including strategic scheduling, with particular attention to the CNMI board, the CNM Holdings Board, the Senior Executive Team, internal committees, external boards, and other professional obligations.
  • Coordinates all administrative and logistical aspects of CNM Ingenuity Board meetings, including preparation and distribution of official agendas, meeting materials, and supporting documentation.
  • Serves as the official recorder for Board meetings and prepares accurate meeting minutes, resolutions, and official documentation.
  • Helps maintain strategic relationships with CNMI executive leaders, staff, and external CEOs in support of Ingenuity’s work on national, statewide, and local initiatives.
  • Working with the College’s contract and staff legislative team, coordinating the CEO’s communications and engagement with federal and state elected and agency officials, legislative and agency staff, and local leaders to further the College’s mission and strategic programming.
  • Manages the CEO’s travel and expenses, including preparing meeting materials, travel authorizations, and expense reports, and reconciling accounts and reimbursements.
  • Responds in person, by telephone, or in writing on behalf of the CEO to inquiries from employees, parents, students, and community members, or refers them to the appropriate staff for resolution.
  • Coordinates special projects and events on behalf of the CEO that involve various stakeholders, both internal and external to CNM and CNMI.
  • Supports enterprise-wide events and initiatives involving CNM and CNM Ingenuity.
  • With the CEO and designee, helps develop communications to staff that further the College’s strategic work and brand.
  • Participates in and helps coordinate enterprise-wide events that the CEO attends.
  • Composes and prepares regular written documentation, correspondence, and email communications using Associated Press style with attention to detail in editing and proofreading.
  • Coordinates the work of various consultants and contractors as needed, including external legal counsel, and special events (e.g., federal delegation teams).
  • Participates in Ingenuity budget planning and implementation of adjustments, transfers, tracking expenses, and regular reporting.
  • Serves as the administrative lead and staff coordinator for services associated with the primary administrative location, the Workforce Training Center (WTC).
  • Develops the master schedule for WTC build, administration, and front desk support, including coordinating the schedules of student employees.
  • Participates in the Executive Assistant Community of Practice.
  • Manages and oversees hiring of interns and student employees in the CEO’s Office.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • Bachelor's degree AND three (3) years of related experience

  • OR

  • Associate's degree AND five (5) years of related experience

  • OR

  • High School Diploma AND seven (7) years of related experience

Preferences:

  • Experience with board management software

  • 2-3 years of board management experience

  • 2-3 years of working with Governmental agencies and Private entities

  • Experience in procurement, grants and grant management.
