Description -

Contracts Team Template Manager – Position Description (SPE)

All Contracts Team personnel are part of a global contracting function within the Enterprise Operations (EO) organization.  The execution of the role, and the primary responsibilities include but not limited to the following:

Contracts Library and SharePoint Administration:

Maintain a clean, accurate, and up-to-date SharePoint site(s), which serve as a key resource for Procurement professionals.

Responsibilities:

  • Manage and maintain procurement documents, templates, presentations, folders, and key reference links to ensure content remains accurate, current, and easily accessible.
  • Update and revise Word documents, contract templates, Excel spreadsheets, PowerPoint presentations, and other supporting materials as needed.
  • Publish, organize, and maintain documents, resources, and critical hyperlinks within designated repositories and collaboration platforms.
  • Ensure version control, consistency, and alignment of materials with procurement standards and governance requirements.

Contract Lifecycle Management (CLM) – Template Management
Support and maintain CLM templates and related workflows within Icertis.

Responsibilities:

  • Develop, implement, and maintain standardized processes for managing procurement contract templates.
  • Identify, recommend, and drive process improvements to increase operational efficiency and effectiveness.
  • Lead Contract Lifecycle Management (CLM) tool enhancements by gathering user feedback, defining requirements, and partnering with the Product Manager on solution development.
  • Represent the Procurement Contracts team as the CLM lead in governance forums and stakeholder meetings.

  • Lead Management of Change (MOC) activities, including communications, training, and user adoption efforts.
  • Partner with Subject Matter Experts (SMEs) to update HP standard contract templates and manage associated change requests, reviews, and approvals.
  • Oversee Icertis data protection record archiving to ensure compliance with retention and governance requirements.
  • Serve as a subject matter resource for Icertis template management, providing guidance, support, and best practices.
  • Provide contract management support to the contracts team and operational backfill assistance during periods of increased workload, resource constraints, or team absences, including contract review, template updates, contract generation activities, and coordination with stakeholders to maintain business continuity

Support for Special Projects

Responsibilities:

  • Collaborate with Subject Matter Experts (SMEs) and Project Leads as part of a cross-functional team to support project objectives and deliverables.
  • Partner with Procurement Leads to identify opportunities for standardization and consistency across procurement resources and materials, including leveraging clause libraries, decision trees, templates, and key reference tools.

Substantive Knowledge:

  • Understanding of fundamental contract terms, conditions, and risk mitigation principles.
  • Basic knowledge of artificial intelligence (AI) concepts and applications.
  • Proficiency in drafting and editing documents using Microsoft Word.
  • Ability to apply cause-and-effect thinking to analyze issues and identify solutions.
  • Basic project management knowledge, including managing timelines, coordinating stakeholders, balancing competing priorities, and providing status updates.

Recommended Experience and Qualifications:

  • Bachelor's degree or equivalent combination of education and at least 4 years of relevant experience.
  • Paralegal experience or equivalent contract management experience, with the ability to review agreements, understand contractual provisions, and perform basic legal interpretation of contract terms and legal documents.
  •  Working knowledge of legal concepts, contract structure, and risk assessment principles to support template management, clause standardization, and contract governance activities.
  • Strong written and verbal communication skills in English.
  • Basic project management knowledge and skills.
  • Proven ability to identify and implement process improvements that enhance efficiency.
  • Demonstrated analytical and problem-solving capabilities.
  • Strong collaboration, relationship-building, and stakeholder management skills.
  • Highly resourceful, proactive, and effective in interpersonal interactions.
  • Strong attention to detail and commitment to accuracy.
