Fast-growing, VC-backed executive coaching company is looking for an Executive Assistant to support their Founders and initiatives from Chief of Staff. In this role, you'll own calendar management and event logistics for founder dinners hosted in New York and San Francisco, manage the coaching pipeline from intro call scheduling through contracts and invoicing, and provide calendar and inbox support for the CEO with an eye toward eventually owning his inbox outright. Someone who is fast, detail-obsessed, and confident pushing back on busy founders and CEOs who try to cancel or reschedule. This is an in-office role, 5 days/week, based in Brooklyn's Williamsburg neighborhood. 100-140K DOE + medical/dental/vision, 401K with match, and flexible PTO.
Responsibilities:
- Manage calendars for the Founders and Chief of Staff, prioritizing and rescheduling with confidence as needs shift throughout the day.
- Own event logistics for monthly founder dinners hosted in New York and San Francisco, including venue coordination, guest list management, and day-of execution.
- Manage the coach-client pipeline end to end, scheduling intro calls, sending prep materials to clients and coaches, and tracking contracts, invoices, and payments through completion.
- Own inbox management for the CEO, starting with triage and drafting and growing into full ownership of his inbox over time.
- Follow detailed internal playbooks precisely while flagging opportunities to improve them as you learn the business.
- Support ad hoc administrative and operational needs as the team scales.
Qualifications:
- 3-5+ years of experience supporting a founder, CEO, or Chief of Staff in a fast-paced environment, ideally at an early-stage startup.
- Comfortable pushing back on busy executives and clients, and confident holding your ground when priorities are at stake.
- Exceptional speed and attention to detail, with a genuine "nothing slips through the cracks" mentality.
- Strong written communication skills, with the ability to draft on behalf of an executive.
- Thrives in an unstructured, fast-moving environment rather than one built on rigid process.
- Proactive and self-directed, able to ramp quickly and figure out what needs to happen without being told.
- Comfortable with in-office work five days a week and general availability outside of standard hours when something urgent comes up.
- Proficient with Google Workspace, Notion, and CRM tools, and comfortable learning new systems quickly.
