Binners is a growing construction services company specializing in demolition, disposal bin rental, construction labour and waste removal throughout the GTA and Ontario.
Since 2018, we have grown into a team of approximately 50 people by building our reputation around one simple promise:

As we enter our next stage of growth, we are looking for an experienced Office Manager to take ownership of the day-to-day management of our office and administrative functions.
This is an important leadership position within Binners.

The Role

We are looking for a mature, confident and highly organized Office Manager who knows how to run an office, manage administrative employees, deal professionally with customers and keep people accountable.
This is not an entry-level administrative position.
We want someone with significant professional experience who is comfortable taking ownership, making decisions and following through without requiring constant direction from the owners.
The right person will have the energy to work in a fast-moving construction environment combined with the experience and judgment to command respect from employees, customers and suppliers.
You will work closely with Binners' CEO and COO and become the primary person responsible for ensuring that the administrative side of the company runs effectively.

Key Responsibilities

Office & Administrative Management

Take ownership of the day-to-day operation of the Binners office.
Manage and support administrative employees and ensure responsibilities, deadlines and recurring tasks are completed.
Establish clear administrative processes, responsibilities and accountability.
Identify administrative problems before they reach ownership and take responsibility for getting them resolved.
Maintain an organized, professional and productive office environment.
Create and maintain company procedures, checklists and SOPs.
Coordinate communication between Sales, Operations, Accounting and Administration.

Team Management & Accountability

Provide day-to-day leadership to office and administrative employees.
Set expectations and follow up to ensure commitments are completed.
Address performance or accountability issues professionally and directly.
Help establish stronger routines, processes and standards across the office.
Be comfortable having difficult conversations when necessary.
Become someone employees can go to for answers and direction rather than escalating routine issues to ownership.

Customer & Vendor Communication

Handle escalated customer situations professionally and confidently.
Communicate with customers regarding administrative, billing, documentation or service issues when required.
Be comfortable speaking with project managers, contractors, suppliers and senior customer contacts.
Protect Binners' relationships while also protecting the company's interests.
Ensure important customer issues receive proper follow-up and do not fall through the cracks.

Accounts Receivable & Administrative Controls

Support the company's billing and collections processes.
Ensure overdue accounts receive appropriate follow-up and escalation.
Monitor administrative controls including customer documentation, credit information, purchase orders and required approvals.
Work with the accounting and collections team to ensure issues are identified early.
Escalate significant financial or customer risks to ownership.

People & HR Administration

Coordinate employee onboarding and offboarding.
Maintain employee documentation and administrative records.
Assist management with hiring coordination, interviews and employment documentation.
Manage vacation requests, office schedules and other administrative HR responsibilities.
Help maintain a professional and accountable workplace culture.

Management Support

The Office Manager's ultimate responsibility is to create leverage for the owners and senior management team.
You should constantly be asking:
"What is currently being handled by the owners that should be handled by me or the administrative team?"
You will help take administrative responsibilities, follow-ups and day-to-day problem solving away from senior management so they can focus on customers, operations, strategy and growing the company.

Who We're Looking For

We are looking for someone who has:
  • 10+ years of professional experience, preferably including office management, administration management or operations administration.
  • Previous experience managing or supervising administrative employees.
  • Strong leadership presence and the confidence to hold people accountable.
  • Excellent verbal and written communication skills.
  • The ability to communicate professionally with demanding customers and senior business contacts.
  • Excellent organizational and follow-up skills.
  • Strong judgment and the ability to make decisions independently.
  • Comfort working in a fast-moving environment where priorities can change quickly.
  • Strong computer skills and the ability to learn new systems.
  • Experience with CRM, accounting, Microsoft Office or similar business software.
  • The ability to remain calm and professional when dealing with difficult situations.
  • A willingness to take ownership beyond a narrowly defined job description.
Experience in construction, contracting, waste management, logistics, equipment rental or another operational service business would be considered a significant asset.

What Success Looks Like

Within your first year:
The office and administrative team operate with clear responsibilities and accountability.
Administrative issues are resolved without routinely requiring involvement from the CEO or COO.
Customer and billing issues receive consistent and professional follow-up.
Processes are documented and followed.
Employees know who is responsible for what.
Important tasks don't fall through the cracks.
The CEO and COO spend materially less time managing administrative issues.
And as Binners grows, the administrative organization is capable of growing with it.
