Job Purpose
Serves as the primary administrator and subject matter expert for the Design Excellence program's Smartsheet platform, supporting critical business processes, reporting, workflow automation, system integrations, and operational communications. This role drives process efficiency, data visibility, and cross-functional coordination through the ongoing development of scalable solutions that support the continued evolution of the Design Excellence program.
Key Responsibilities
- Serve as the primary administrator and subject matter expert for Smartsheet, including system configuration, template management, workflow design, user support, reporting, dashboards, and automation.
- Maintain and enhance integrations between Smartsheet, Salesforce, and other business systems to ensure accurate tracking, reporting, and communication.
- Develop and implement workflow improvements that streamline processes, improve data quality, increase visibility, and enhance the user experience.
- Monitor emerging platform capabilities and evolving AI solutions, identifying opportunities to improve process efficiency, automate tasks, enhance reporting, and strengthen operational effectiveness related to program requirements, milestones and deadlines.
- Manage monthly design billing processes and related reporting.
- Coordinate operational communications, including design milestone notifications, PIP distributions, probation requests, and Review Committee requests.
Preferred Experience and Education
- Bachelor’s degree in business administration or related field, or an equivalent combination of education and experience.
- Minimum 3-5 years of experience administering Smartsheet or similar enterprise work management platforms, including workflow automation, reporting, dashboards, and system configuration.
Required Knowledge and Skills
- Advanced Smartsheet administration experience, including workflows, forms, dashboards, reports, and automation.
- Experience with system integrations and data management between business applications.
- Demonstrated ability to evaluate and utilize technology solutions, including AI-enabled tools and automation to improve productivity, manage deliverables, track milestones, enhance reporting, and support continuous process improvement.
- Strong process improvement and operational efficiency mindset.
- Ability to translate business requirements into scalable system solutions.
- Experience developing dashboards and executive-level reporting.
- Advanced proficiency in Microsoft Office Suite.
- Strong analytical and reporting skills with the ability to communicate technical issues to non-technical users.
- Excellent time management, organizational, and decision-making skills.
- Effective verbal, written, and interpersonal communication skills.
- Ability to resolve complex issues and optimize system performance.
Work Location
- This is a hybrid position, requiring onsite presence Mondays, Wednesdays and Fridays at our Headquarters location, with the option to work remote on Tuesdays and Thursdays. This hybrid model fosters intentional collaboration, teamwork, connection, and productivity, while still providing flexibility and work life balance.
