Proposal Specialist – Commercial Excellence | Commercial Contracts

This position is central to our Proposal & Pricing Management (PPM) function, supporting the end-to-end response lifecycle for formal solicitations such as RFPs, RFQs, and RFIs. You'll help maintain and scale our proposal content repository using Qvidian, collaborate with cross-functional experts, and contribute to continuous improvement initiatives that enhance how we deliver value to customers. About the Role
In this opportunity as a Proposal Specialist, you will:
- Lead the coordination and development of high-quality, client-tailored responses to formal solicitations (RFPs/RFQs/RFIs) from corporations, law firms, and government entities.
- Collaborate with Sales, Solutions Consultants, Legal, and Subject Matter Experts to ensure accurate, compliant, and compelling proposal submissions.
- Utilize our proposal automation platform (Qvidian) to efficiently retrieve, adapt, and submit standardized content while maintaining rigorous quality control.
- Develop customer-facing responses and complete required forms, certifications, and disclosures in alignment with solicitation requirements.
- Support the enhancement of our centralized knowledge base by contributing new Q&A pairs and refining existing content for future reuse.
- Apply AI-powered tools to streamline review processes and project management activities, ensuring human oversight to uphold compliance and mitigate risk.
- Track and report on proposal metrics to inform performance analysis and process optimization efforts.
About You
You're a fit for the role of Proposal Specialist if you have the following required qualifications:
- Bachelor's degree (or international equivalent).
- Superior written and verbal communication skills in English, with the ability to produce clear, professional, and persuasive content.
- Demonstrated organizational and interpersonal abilities, with a track record of managing multiple priorities under tight deadlines.
- Strong attention to detail and commitment to accuracy in high-stakes, compliance-driven environments.
- Proven ability to work independently and collaboratively across teams, demonstrating accountability and initiative.
- Technical proficiency with Microsoft Office Suite—especially Excel and Word—and aptitude for learning new software platforms quickly.
- High level of integrity, professionalism, and discretion when handling sensitive or confidential information.
Additional preferred qualifications include:
- Experience in proposal writing or responding to formal solicitations in a corporate, legal, or professional services environment.
- Familiarity with proposal management tools such as Qvidian or Loopio.
- Background in tax, legal, or regulatory domains—particularly as they relate to client procurement requirements.
- Membership in a professional organization such as the Association of Proposal Management Professionals (APMP).
- Interest in or experience applying generative AI tools to improve workflow efficiency and team collaboration.
