Position Summary

The Events Assistant will be responsible for supporting the Events team to assist in planning, production, and execution of high-quality internal and external events. The Events Assistant will assist with creating events collateral, venue research, and onsite events assistance, plus other duties as needed.

The Event Assistant provides day-to-day support for the planning and execution of corporate events. This is an entry-level opportunity for someone looking to build a career in corporate events. The role is ideal for someone who is highly organized, eager to learn, enjoys working behind the scenes, and takes pride in producing accurate, high-quality work.

Essential Job Functions

  • Assist with planning and execution of meetings, conferences, dinners, and employee events
  • Assist on-site at fast-paced events - onsite duties may include:
    • Manage event registration and check-in
    • Take event photos for marketing materials
    • Converse with venue managers and vendors to ensure event is running smoothly
    • Distribute event collateral and gifts
    • Help with set-up, tear-down and coordination onsite
  • Please note that some events will take place after normal working hours and will require later evenings onsite
  • Organize and purchase supplies for events as needed
  • Manage attendee lists and create, print, and prepare name tags for events
  • Take on a variety of administrative projects and day-to-day tasks
  • Conduct venue research and outreach following event inquiries, maintain venue/vendor tracker 
  • Manage payment requests, track invoices, and expense management for events
  • Support with event reporting and maintain the events calendar and folders
  • Provide administrative support to the Events team as needed

  • Must be detail oriented, creative, and innovative
  • Must be curious, resourceful, and eager to learn new skills
  • Must be able to multi-task and meet deadlines
  • Excellent interpersonal skills, organizational skills and problem-solving abilities
  • Strong written and verbal communication skills
  • Energetic team player with the ability to function independently, as well as collaboratively

Basic Qualifications

  • 0-2 years of professional experience
  • Bachelor’s Degree in Hospitality, Marketing, Communications, Business Administration, or related field
  • Proficient in Microsoft Word, PowerPoint, Excel
  • Must be available to work some nights to staff events
  • High degree of professionalism
  • Basic knowledge of restaurants and venues in New York, Los Angeles and Chicago

Work Location 

  • Currently, this role is expected to be in the ­­­­New York office at least 4 days per week. 

Salary

  • Annual base salary between $50,000 - $65,000
  • The base salary range represents the low and high end of the anticipated base salary range for this position. Actual base salaries may vary depending on factors such as location and experience. The range listed reflects base salary only, and the total compensation package may include other components such as incentive compensation.
