Overview
The Manager, Support Services may manage the operations of the grounds, housekeeping and maintenance departments depending on operational need. The Manager, Support Services will promote a safe environment and quality service to achieve maximum resident satisfaction, protection of assets and minimal expenses.
Responsibilities
PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS
Job Duties Specific To This Position:
- Maintenance and upkeep of the campus, including grounds, vehicles, building and mechanical systems.
- Manages and inspects the cleaning of all employee offices, meeting areas and resident common areas and apartments, ensures compliance with all health and sanitation standards and regulations to achieve a high level of cleanliness and resident satisfaction.
- Monitors facility conditions for compliance to building codes, OSHA and DOH regulations. Takes appropriate actions to correct conditions.
- Primary contact for vendors and contractors.
- Ensures road and sidewalk winter safety by assisting contracted snow removal company as needed.
- Ensures compliance with Support Services Department policies and procedures that support the operational functions of the community.
- Supervises department staff, providing open communication, orientation, training, coaching and performance feedback to ensure staff are successful. Responsible for scheduling and payroll functions.
- Collaborates with other departments to ensure positive operational outcomes.
- Ensures apartments are prepared for new occupancy to the highest standards in a timely manner.
- Responds to requests and concerns of residents appropriately. Brings matters to resolution by exceeding customer expectations.
- Monitors and prepares facilities for regulatory inspections.
- Monitors resident environment for safety, cleanliness and comfort. Reports all concerns promptly to Director of Facilities.
- Assigns employees according to their skill and training levels.
- Provides input for annual budget projections as required.
- Monitors departmental budget lines. Initiates remedial action as appropriate.
- Ensures adequate maintenance supplies are maintained in inventory. Maintains accurate records of purchase orders and receipts.
- Monitors use and maintenance of Loretto equipment to ensure maximum life.
- May monitor and manage payroll budget, addressing issues appropriately.
- As requested by Director of Facilities, may provide offsite support at additional Loretto Housing sites.
- Other duties as assigned by the Director of Facilities.
Qualifications
QUALIFICATIONS
- High School Diploma or equivalent required.
- Minimum 3 years management experience in related function, preferably in a union environment.
- Certification or licensure in one or more trades strongly preferred.
- Possess a working knowledge in HVAC, electrical circuitry, plumbing, carpentry, boiler and chiller systems.
- Valid driver’s license.
- Ability to work a flexible schedule, which will include evenings and weekends.
- Ability to operate mechanical/hydraulic lifts, test equipment and hand tools.
- Customer service focus.
- Highly organized and detail oriented.
- Strong interpersonal and communication skills.
- Able to lead, guide and motivate others.
- Computer competency in Microsoft Office Suite or equivalent.
An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed above may be substituted for the above education and experience requirements.
