Purpose of the Role
Own the readiness of void properties from handover through to tenancy commencement and launch to market. Ensure every property is physically created in our SLM software, compliant, and marketed on time, enabling the Leasing team to convert demand into lettings efficiently. Support the timely turnaround of properties by coordinating with internal teams, property managers and end of tenancy co coordinators. Provide occasional support across other departments, including phone coverage, to meet the needs of the business.

Key Responsibilities
Property Readiness
- Own the end-to-end process of preparing void properties for market
- Manage and track turnaround timelines, proactively resolving delays
- Conduct readiness checks to ensure properties are presentable and meet quality standards prior to launch
Property Marketing & Launch
- Create, upload, and maintain accurate listings in SLM and property portals (Rightmove, Zoopla, OnTheMarket)
- Ensure all marketing collateral is in place, including professional photography, floorplans, virtual tours, and property descriptions
- Own the go-live process, ensuring properties are launched promptly once ready
- Maintain consistency and quality across all listings by conducting regular audits and providing feedback to the Lettings Manager on improvements to increase enquiry levels
Inventory & Pipeline Visibility
- Maintain a live view of all vacant and upcoming available units
- Track property status across key stages: notice received → vacated → in works → ready → live
- Provide clear updates to the leasing team on availability timelines, particularly when delays are caused by CapEx or end-of-tenancy works.
- Identify risks to go-live dates and escalate issues early
Compliance and Documentation
- Ensure all compliance requirements (EPC, Gas Safety, EICR, etc.) are completed prior to marketing
- Maintain accurate records of certificates, key locations, and property documentation to support the inbound enquiries team when booking viewings
- Verify licensing requirements before marketing properties, including checking whether the property is subject to Mandatory, Selective, or Additional licensing requirements.
- Ensure properties meet all regulatory and company standards before being advertised.
Cross Team Co Ordination
- Work with mobilisation and end-of-tenancy teams to deliver properties on schedule
- Partner with leasing to prioritise units based on demand and leasing strategy
- Provide feedback on recurring asset issues affecting marketability or causing delays
- Collaborate closely with the tenancy progression team and aftercare regarding compliance certification support
- Support where necessary with booking SLM diary appointments for our area hosts including viewings and home demonstrations
- Provide phone support during peak seasonal periods or team absences
- Collaborate with the Research Co-Ordinator to issue rent reviews and accompanying supporting evidence via SLM, ensuring compliance with Lloyds Living requirements.
Skills & Experience
Must Have
- 2-3 Years experience in property administration, lettings operations, or property coordination
- Understanding of UK lettings compliance requirements
- Strong organisational skills with the ability to manage multiple properties and timelines simultaneously
- High attention to detail, particularly in listings and compliance documentation
- Experience using property management systems and listing platforms such as SLM, MRI Qube, Rightmove, Zoopla and OnTheMarket.
- Ability to coordinate effectively across multiple teams and manage competing priorities
Nice to Have
- Experience managing voids or turnaround periods within a portfolio environment
- Experience improving operational processes or turnaround efficiency
