Job Title: Inventory Officer – Security & ICT Projects

Gross Salary: KES. 60,000 – 70,000
About the Role
Our client is a leading provider of integrated Security and ICT solutions, delivering projects across corporate, commercial, government, and institutional sectors.
They are seeking a highly organized and detail-oriented Inventory Officer to manage inventory operations and ensure the efficient movement, control, and accountability of materials and equipment used across multiple projects. The successful candidate will play a critical role in maintaining accurate inventory records, supporting project delivery, and ensuring stock availability while minimizing losses and operational inefficiencies.
This role is ideal for professionals with experience managing technical inventory within the Security Systems, ICT, Electronics, Telecommunications, Engineering, or Systems Integration industries.
Key Responsibilities
Inventory Management
- Manage the complete inventory lifecycle, including receiving, inspection, storage, issuance, transfers, returns, and disposal of stock.
- Monitor inventory levels to ensure adequate stock availability for ongoing and upcoming projects.
- Maintain accurate inventory records within the inventory management system and ensure data integrity at all times.
- Prepare, issue, and maintain records of delivery notes, material issue vouchers, goods received notes, and inventory movement documentation.
- Track all inventory movements and conduct regular stock reconciliations between physical inventory and system records.
- Investigate stock variances and recommend corrective actions to minimize inventory losses.
- Support continuous improvement initiatives aimed at enhancing inventory accuracy and operational efficiency.
Project Support
- Work closely with Procurement, Project Managers, and Technical Teams to ensure timely availability of equipment and materials.
- Coordinate material allocations for project installations and monitor utilization throughout the project lifecycle.
- Support material planning for upcoming projects to avoid stock shortages or delays.
- Ensure project inventory is accurately tracked from issuance through project completion.
Inventory Reporting & Analysis
- Maintain accurate inventory valuation and cost records.
- Monitor inventory transactions, including purchases, transfers, adjustments, and disposals.
- Prepare regular inventory reports highlighting stock levels, slow-moving items, ageing inventory, stock variances, and consumption trends.
- Analyze inventory data to identify opportunities for cost savings, improved stock control, and operational efficiencies.
- Support Finance during monthly inventory reconciliations and financial reporting.
Systems & Process Management
- Utilize inventory management software to monitor stock movements and maintain accurate records.
- Support automation and continuous improvement of inventory processes.
- Ensure all inventory transactions are processed accurately and promptly.
- Maintain proper documentation and filing for all inventory-related records.
Compliance & Audit
- Ensure compliance with company inventory policies, procurement procedures, and internal controls.
- Support internal and external inventory audits by providing complete and accurate documentation.
- Participate in routine stock counts, cycle counts, and annual inventory verification exercises.
- Recommend improvements to inventory control procedures and warehouse operations.
Qualifications
- Bachelor's Degree in Supply Chain Management, Procurement, Logistics, Business Administration, Accounting, Finance, or a related field.
- Minimum of 2 years' experience in Inventory Management, Stores Management, Warehouse Operations, or Stock Control within the Security Systems, ICT, Electronics, Engineering, Telecommunications, Manufacturing, or Construction sectors.
- Experience managing technical inventory and project materials is highly desirable.
- Strong understanding of inventory control principles, stock reconciliation, and inventory reporting.
- Experience using ERP or inventory management systems such as Zoho Inventory, SAP, Microsoft Dynamics, Odoo, or similar platforms.
- Proficiency in Microsoft Excel and Microsoft Office Suite.
- Strong analytical, organizational, and problem-solving skills.
- Excellent attention to detail and ability to maintain accurate records.
Preferred Qualifications
The following will be an added advantage:
- CPA (Part II or above)
- CPSP-K
- Professional certification in Inventory or Warehouse Management
- Experience supporting project-based inventory management.
- Familiarity with Security Systems and ICT equipment, including:
- CCTV Systems
- Access Control Systems
- Time & Attendance Systems
