Position Summary

The Purchasing Coordinator is responsible for purchasing products from approved vendors to support Capitol Coffee's multiple warehouse locations. This position ensures adequate inventory levels while minimizing excess inventory and stock-outs. The coordinator works closely with sales, warehouse managers, manufacturers, and suppliers to maintain product availability and maximize inventory turns.

This position will be based in Charlotte, North Carolina, and will support purchasing activities across Capitol Coffee's distribution network.

Primary Responsibilities

Purchasing

• Create and issue daily purchase orders to manufacturers and distributors.
• Monitor inventory levels and replenish stock based on demand forecasts.
• Ensure all purchase orders are accurate regarding:
  • Quantity
  • Pricing
  • Freight terms
  • Delivery dates
• Expedite critical orders when necessary.
• Resolve vendor shortages and backorders.

Vendor Management

• Communicate daily with suppliers.
• Resolve pricing discrepancies.
• Verify vendor confirmations.
• Track vendor lead times.
• Monitor fill rates.
• Coordinate product substitutions when necessary.

Reporting

• Review purchasing reports.
• Track inventory turns.
• Monitor vendor performance.
• Prepare shortage reports.
• Maintain purchasing records.

Internal Communication

• Work closely with:
  • Operations
  • Warehouse Managers
  • Sales
  • Customer Service
  • Accounting

Continuous Improvement

• Recommend new purchasing procedures.
• Improve inventory accuracy.
• Reduce purchasing costs.
• Improve supplier performance.

Qualifications

Required

• 1–5 years purchasing or inventory experience
• Strong Excel skills
• ERP experience (NetSuite preferred)
• Excellent organizational skills
• Strong communication skills
• Detail oriented
• Able to prioritize multiple projects

Preferred

• Foodservice or beverage industry experience
• Coffee or vending industry experience
• Distribution purchasing experience
