About the Role
We are seeking a highly capable and resourceful operator to lead Internal & People Operations at Trellis. This role will own many of the essential functions that keep the company running, including recruiting coordination, payroll and benefits administration, company events, office operations, vendor management, budgeting, and finance-related workflows.
This is a high-trust, high-autonomy role for someone who enjoys taking ownership, creating order from ambiguity, and ensuring that important details do not fall through the cracks. You will work closely with the founders and leadership team and serve as a central point of coordination across employees, candidates, vendors, and external partners.
The ideal candidate is highly organized, proactive, discreet, and comfortable moving between strategic projects and hands-on execution. One day may involve improving the recruiting process and coordinating candidate interviews; another may involve planning a company off-site, resolving a payroll issue, reviewing vendor spend, or improving office operations.
This role offers significant visibility into the company’s operations and the opportunity to shape Trellis’s people programs, internal infrastructure, and employee experience as the company scales.
What You’ll Do
Lead Recruiting Operations
- Own recruiting coordination across open roles, including interview scheduling, candidate communication, interviewer preparation, and follow-up.
- Create a high-quality and consistent candidate experience from initial outreach through offer and onboarding.
- Partner with hiring managers and the founders to maintain recruiting pipelines, track progress, and identify bottlenecks.
- Manage recruiting systems, documentation, interview plans, scorecards, and candidate records.
- Coordinate references, background checks, offer documentation, and pre-employment processes.
- Help develop scalable recruiting processes and tools as the company grows.
- Support employer branding, job postings, recruiting events, and relationships with external recruiters when needed.
Manage Payroll, Benefits, and People Administration
- Own payroll administration and ensure employees are paid accurately and on time.
- Manage employee onboarding and offboarding, including documentation, benefits enrollment, equipment coordination, system access, and internal communication.
- Maintain accurate employee records and coordinate with payroll, benefits, HR, immigration, and compliance providers.
- Support the development and maintenance of employee policies, handbooks, and internal documentation.
- Manage recurring people operations processes, including compensation updates, benefits renewals, leave administration, and required filings.
- Handle sensitive employee and company information with sound judgment and discretion.
- Identify opportunities to improve the employee experience and reduce administrative friction.
Own Company Events and Employee Experience
- Plan and execute company on-sites, off-sites, team events, celebrations, and leadership gatherings.
- Manage event logistics, including venues, travel, accommodations, meals, transportation, schedules, materials, and budgets.
- Build thoughtful experiences that strengthen company culture and help employees connect.
- Coordinate company-wide calendars and support scheduling for important internal meetings and events.
- Manage all-hands logistics, team-building activities, employee recognition, and other internal programs.
- Gather feedback and continuously improve company events and employee programs.
Run Office and Workplace Operations
- Own the day-to-day operation of the Trellis office and ensure it is organized, functional, and welcoming.
- Manage office supplies, food and beverage programs, equipment, security, access, maintenance, and workplace vendors.
- Coordinate employee seating, new-hire setups, conference room needs, and office changes as the team grows.
- Serve as the primary point of contact for landlords, building management, maintenance providers, and workplace partners.
- Identify and resolve office issues proactively before they disrupt the team.
- Develop lightweight, scalable systems for workplace requests and office management.
- Support the evaluation and implementation of future office space needs.
Manage Vendors, Budgets, and Financial Operations
- Manage relationships with key company vendors across recruiting, HR, payroll, benefits, insurance, facilities, legal, finance, and general operations.
- Own vendor onboarding, documentation, renewals, contract coordination, and ongoing performance management.
- Review vendor usage and spend to ensure Trellis is receiving strong value and avoiding unnecessary costs.
- Support budgeting, forecasting, headcount planning, and expense management in partnership with the founders and finance team.
- Manage accounts payable workflows, invoice approvals, reimbursements, corporate card administration, and expense policies.
- Help maintain accurate financial and operational records.
- Identify opportunities to consolidate vendors, negotiate better terms, and improve operational efficiency.
- Support accounting, tax, audit, insurance, and compliance processes by gathering documentation and coordinating with external partners.
Build Scalable Internal Operations
- Create and maintain clear processes, checklists, documentation, and systems for recurring internal operations.
- Proactively identify operational gaps and independently drive solutions from concept through implementation.
- Establish internal service standards and ensure employees receive timely support.
- Introduce tools and automation that reduce manual work and improve accuracy.
- Track key operational deadlines and ensure the company remains ahead of renewals, filings, payments, and compliance obligations.
- Partner across teams to improve communication, coordination, and organizational effectiveness.
- Take ownership of high-priority operational projects that do not have a natural functional owner.
- Over time, help build and potentially lead a broader People or Internal Operations function as the company scales.
What We’re Looking For
Required Qualifications
- Eperience in people operations, recruiting operations, business operations, office management, finance operations, executive operations, or a related role.
- Demonstrated ability to independently manage multiple operational functions and competing priorities.
- Strong organizational and project management skills, with exceptional attention to detail.
- Experience supporting recruiting, payroll, employee onboarding, or other people-related processes.
- Strong written and verbal communication skills.
- Ability to operate with high autonomy and make sound decisions with limited oversight.
- High level of discretion and maturity when handling confidential employee, financial, and company information.
- Strong service orientation and a genuine interest in creating a positive employee and candidate experience.
- Ability to move comfortably between high-level planning and detailed execution.

Preferred Qualifications
- Experience working at an early-stage or high-growth technology company.
- Experience owning payroll, benefits, recruiting coordination, or employee lifecycle processes.
- Experience managing office operations, company off-sites, and employee events.
- Familiarity with HRIS, ATS, payroll, expense management, accounting, and vendor management systems.
- Experience supporting budgeting, accounts payable, financial reporting, or corporate administration.
- Experience establishing new programs and processes rather than only operating within existing ones.
- Demonstrated success partnering directly with founders or senior executives.
- Interest in AI, healthcare, and building the operational foundation of a rapidly growing company.
