Job Title: Remote Business Operations & CRM Coordinator (100% Work From Home)
About the Client
Our Client is a leading merchant solutions and payment processing provider specializing in merchant services, POS point-of-sale systems (including Clover), and specialized field-service installations. Focused on operational accuracy, seamless customer support, and systemized workflows, they rely on robust CRM administration and centralized documentation to power their business. To support their expanding customer base and field service operations, they depend on meticulous operations coordinators to maintain clean database records, manage cross-departmental follow-ups, and build standardized SharePoint environments.
Our Client is seeking a detail-oriented, highly organized Business Operations & CRM Coordinator to manage recurring administrative workflows, oversee Method CRM data health, organize Microsoft SharePoint document libraries, and coordinate field service scheduling. Working directly alongside company leadership, this professional will bridge customer requests, vendor follow-ups, shared mailboxes, and internal task tracking. Operating full-time with US Mountain Time alignment, this coordinator will serve as a proactive operational resource who identifies missing data, enforces process compliance, and drives outstanding items to completion.
Key Responsibilities
CRM Administration & Data Hygiene

Audits, standardizes, and maintains Method CRM records, accounts, cases, work orders, contacts, and activity logs.

Identifies duplicate entries, incomplete fields, stale sales opportunities, and missing next steps, producing recurring data quality reports for management.

Logs customer interactions, decision notes, and follow-up commitments into central records, maintaining active task lists to guarantee on-time completion.

Participates in Method CRM customization calls with external consultants, capturing system requirements, documenting decision logs, and driving user adoption across teams.
Business Operations, Inbox & Task Coordination

Monitors shared Outlook mailboxes, phone logs, text channels, and internal ticket queues, acknowledging, routing, and escalating requests according to established SOPs.

Establishes a recurring management follow-up system across open tickets, meeting action items, and pending work orders to ensure every item has an assigned owner and due date.

Builds Excel trackers, operational status logs, checklists, research summaries, and meeting minutes using Microsoft 365, Teams, and AI productivity tools.

Drafts approved customer or vendor communications, schedules appointments, and executes routine administrative projects independently.
Field Service & Marketplace Coordination

Establishes field-service scheduling workflows for internal Field Service Technicians, prioritizing customer work orders over external marketplace assignments.

Tracks technician travel schedules, appointment completion documentation, customer sign-offs, and post-service follow-ups.

Manages profiles and job tracking across third-party service marketplaces (such as Field Nation), summarizing suitable secondary jobs for management review and schedule optimization.
SharePoint & Process Documentation

Manages assigned Microsoft SharePoint document libraries, Microsoft Lists, metadata tagging, links, templates, and SOP pages in alignment with corporate standards.

Uploads, categorizes, archives, and organizes administrative files to maintain a searchable, well-structured digital workspace.

Documents recurring administrative and operational processes into formal SOPs, identifying opportunities to standardize, simplify, or automate workflows using AI tools.
Light Sales & Administrative Support

Provides light sales administration support, updating prospect records, managing scheduled follow-up tasks, and assisting with meeting coordination (non-quota, non-cold calling).
Qualifications, Skills, and Key Competencies
Required Qualifications

Operations & CRM Track Record: 3+ years of experience in business operations coordination, CRM administration, administrative support, or service desk dispatching.

CRM System Expertise: Hands-on experience navigating CRM platforms, maintaining customer records, auditing data quality, and managing operational task lists.

Advanced Microsoft 365 & Excel Skills: Strong proficiency in Microsoft Excel (data manipulation, tracking sheets, reporting), Outlook shared mailboxes, Teams, and Microsoft 365.

Near-Native Written & Spoken English: Exceptional verbal and written English communication skills suitable for direct customer, vendor, and executive interactions.

Process & SOP Documentation Abilities: Demonstrated capability to document step-by-step business workflows and organize digital filing structures.

Schedule Alignment: Ability to work a 40-hour weekly schedule (5 days or 4.5 days) with consistent coverage during US Mountain Time (MT) business hours.

Remote Infrastructure Setup: Dedicated quiet home office, personal computer, professional headset, and high-speed, reliable internet connection.
Preferred Qualifications

Hands-on experience with Method CRM, RingCentral, or service marketplace platforms like Field Nation.
