Environmental Health & Safety Coordinator

POSITION SUMMARY 

The EHS Coordinator supports the day-to-day administration of environmental, health, and safety programs across Zone 5 Technologies manufacturing operations. Working under the direct supervision of the EHS Specialist and the Director of Operational Excellence (OpEx), this role provides administrative, scheduling, and data-management support for compliance activities, training logistics, recordkeeping, and incident documentation. The Coordinator does not independently interpret regulations or make compliance determinations; instead, this role ensures that established EHS records, schedules, and administrative processes are accurately maintained and that tasks assigned by the EHS Specialist or Manager are completed on time and documented correctly. 

The ideal candidate is organized, detail-oriented, and eager to build foundational EHS knowledge in a fast-paced aerospace manufacturing environment, including exposure to composite and beryllium materials, energetic materials, RF/EMF, ionizing radiation, and classified program areas, with the discipline and attention to detail required in a regulated defense contractor environment. 

KEY RESPONSIBILITIES 

Regulatory Compliance & Permitting Support 

• Assist the EHS Specialist with scheduling and documenting routine compliance inspections and walkthroughs; file completed inspection checklists and corrective action forms 

• Maintain and organize EHS compliance records, permit files, and regulatory filing calendars; enter data into tracking spreadsheets and flag upcoming deadlines to the EHS Specialist 

• Support hazardous waste management administration: prepare waste labels, file completed manifests, and maintain container inspection logs under the direction of the EHS Specialist 

• Assist with logistics for regulatory agency inspections and third-party audits: gather requested documents, set up meeting spaces, and take notes during walkthroughs 

• Update compliance tracking calendars and send reminders to the EHS Specialist regarding upcoming permit renewals and reporting deadlines 

Hazard Identification & Risk Management (Support Role) 

• Schedule and coordinate Job Hazard Analysis (JHA) reviews; distribute forms to supervisors and file completed approvals 

• Assist with logistics for industrial hygiene monitoring: label sample media, coordinate courier pickups, and enter results into tracking logs for EHS Specialist review 

• Maintain the chemical inventory database and SDS/GHS library; log new chemical requests and route them to the EHS Specialist for hazard review 

• Support classified area EHS administrative tasks: schedule inspection walkthroughs with the FSO's office and file completed inspection documentation 

• Coordinate respirator fit-testing appointments, maintain fit-test records, and track medical clearance expiration dates 

Emergency Preparedness & Incident Management (Support Role) 

• Maintain and update site emergency response plan (ERP) documents, contact lists, and evacuation maps under EHS Specialist direction 

• Support incident investigations by organizing documentation, photographs, and witness statements into the EHS management system 

• Track corrective and preventive actions (CAPAs) in the tracking system and send follow-up reminders to responsible parties; escalate overdue items to the EHS Specialist 

• Assist in maintaining OSHA 300/300A logs by entering reported incidents; route recordability questions to the EHS Specialist 

• Assist in coordinating logistics for emergency response drills and tabletop exercises: schedule rooms and participants, prepare materials, and record attendance 

Training & Safety Culture 

• Schedule EHS training sessions and manage attendance tracking and completion records in the LMS 

• Process near-miss and hazard reports: log submissions, send acknowledgment notices to reporters, and route items to the EHS Specialist for investigation 

• Assist in producing training aids, posters, and toolbox talk handouts using established templates 

• Distribute toolbox talk materials to supervisors and track completion 

Environmental Sustainability & Stewardship 

• Compile facility waste stream data (hazardous, universal, and recycling volumes) into monthly tracking logs 

• Maintain chemical inventory quantity logs and storage segregation checklists 

Program Administration & Reporting 

• Maintain day-to-day data entry in the EHS management system (EHSMS): inspection records, incident data, training completions, and chemical inventory 

• Compile basic EHS metrics (training compliance percentage, inspection completion rates) into standard report templates for EHS Specialist/Manager review 

• Organize and file EHS documentation, permit binders, and records per recordkeeping retention requirements 

• Assist with research on regulatory updates by gathering source materials for EHS Specialist review 

REQUIRED QUALIFICATIONS 

• 0–2 years of experience in EHS, quality, or an administrative support role, ideally within a manufacturing or industrial setting 

• Basic familiarity with workplace safety concepts and a genuine interest in learning OSHA and EPA regulatory frameworks 

• Strong organizational skills and high attention to detail for recordkeeping and data entry 

• Proficiency with Microsoft Office (Excel, Word, Outlook) and comfort learning new EHS software systems 

• Effective written and verbal communication skills; comfortable interacting with production floor personnel 

• Ability to obtain and maintain a U.S. Government Secret security clearance 

PREFERRED QUALIFICATIONS 

• Associate's or Bachelor's degree in Occupational Health & Safety, Environmental Science, or a related field (or equivalent coursework in progress) 

• OSHA 10-Hour General Industry certification 

• Prior internship, co-op, or administrative experience in a manufacturing, defense, or government contracting environment 

• Familiarity with EHSMS / GRC platforms (KPA, Cority, Vector Solutions, VelocityEHS, or equivalent) 

• Exposure to basic industrial hygiene or hazardous waste management concepts
