Job Description - Workplace Event Ambassador
About the Role:
The Workplace Event Ambassador, will manage the overall workplace event experience by being the first point-of-contact for daily event operations in the client offices, including collaboration with different department stakeholders in managing end-to-end event management – from setting up and dismantling of events, coordinate security clearance for VIPs and event communication management etc.
This role requires to have close partnership with client real estate leads, different client department stakeholders, soft and engineering team and site lead, contributing to larger workplace experience initiatives. While the role requires someone highly proactive and independent, the role will also be a key collaborator on strategic projects that enhance employee experience and operational excellence across the three Singapore sites.
Responsibilities:
- Ownership for the overall workplace event experiences and be empowered to identify and resolve event operational issues end to end; escalate only for safety risks, major disruptions, or out-of-scope decisions.
- Manage employee event requests through client CMMS system or as advised by client stakeholders. Respond to event request and inquiries with efficiency, coordinating with operations team as required.
- Coordinate and execute on-site and remote events: taking ownership and making real time decisions to secure space, managing AV setup and takedown, greeting guests, and liaise with catering or logistics teams. Accountable to the overall budget associate and only escalate when costs, scope, risk, or safety considerations materially change.
- Support and manage meeting rooms, all-hands spaces, and other bookable areas - helping troubleshoot calendar clashes and ensuring the environment is meeting-ready.
- Maintain a strong working relationship with building management and operations teams - coordinating access control, cleaning schedules, maintenance visits, and ongoing facility’s needs accordance with event requirement.
- Communicate updates and announcements through client’s platform or email, ensuring clarity around visitor experience and space usage during event operations.
- Work closely with the FM and HX teams on initiatives, event rollouts, employee programs, and special projects.
- Collaborate with the FM, HSE Team and Workplace Security during safety drills and evacuation exercises.
- Conduct daily office walkthroughs to ensure a clean, safe, and well-stocked event environment.
Requirements:
- 3+ years of experience in office coordination, hospitality, facilities, or workplace operations.
- A strong operational mindset with a genuine passion for building meaningful employee experiences.
- Proven ability to manage multiple projects and competing priorities with exceptional attention to detail.
- Excellent written and verbal communication skills across email and in-person interactions.
- Proficiency in Google Workspace (Docs, Sheets, Slides) and comfort using CMMS platform or help desk platforms.
- A proactive, positive, and solutions-oriented attitude - someone who thrives in fast-paced, people-first environments.
- Others: The role includes the need to potentially after-hours coverage when necessary.
