We are currently seeking a dynamic individual for the role of Facility Manager to join our team:
- Work Location: Heredia, Costa Rica.
- Work schedule: Monday to Friday, 8:00 am to 5:00 pm.
- Work model: On site.
- Contract Type: Indefinite-term.
- El Salvador: will be also in charge of all operation
JOB OBJECTIVE
The professional responsible for ensuring that the site and its services enable business continuity as well as satisfaction of the needs of people working there. Leads a team and/or manages the daily activities of an assigned property or facility, serving as the key on-site point of contact for stakeholders or clients. The responsibilities assumed will include generating site budgets, maintaining accounting and finance for maintenance and operations, contract services, purchasing materials, equipment and supplies, occupancy services, and site assistance services.
RESPONSIBILITIES – SUMMARY
- Manages and trains the team.
- Proactively engages stakeholders to ensure client expectations are met on-site.
- Builds and develops effective relationships between clients and stakeholders at multiple organizational levels.
- Serves as the key on-site point of contact to ensure client premises requirements are met.
- Ensures vendors are well-managed, delivering services on time and within budget.
- Ensures vendor procurement processes comply with agreed client procurement guidelines as well as JLL best practices.
- Plans and manages all contracts to ensure they are delivered professionally at the correct costs.
- Ensures contract expiration is well-monitored and renewal is initiated when necessary.
- Ensures contracts are continuously evaluated to deliver the best value to the client.
- Actively works to ensure site financial operations meet or exceed objectives and control requirements, including JLL's code of ethics.
- Ensures financial processes are followed at all times.
- Ensures provision of a safe work environment.
- Ensures compliance with legal fire, health, and safety standards.
- Recommends continuous quality improvement practices and implements industry best practice operations.
- Periodically reviews existing operations to reduce costs and improve operational standards.
- Ensures a property risk management program is implemented and maintained, including audits.
- Ensures escalation procedures and incident notification procedures are implemented and maintained.
- Assists in developing guidelines and strategies to ensure compliance with JLL business conduct.
- Assists and ensures the building complies with regulations and standards.
REQUIREMENTS
- Bachelor's degree in facilities management, construction, Architecture, Civil Engineering, Mechanical Engineering, Electrical Engineering, and/or administration.
- Knowledge of critical facilities.
- Knowledge of vendor management for specialized services.
- Understands basic technical aspects of property (HVAC in communication rooms or site, cooling system, fire protection systems, mechanical and electrical systems, BMS system).
- Strong budget management and financial analysis skills.
- 3-5 years of experience in facilities, property management, hospitality, or related fields.
- Contract management experience required.
- Excellent interpersonal skills and ability to interact with a wide range of personnel and client demands.
- Demonstrable experience with bidding and service improvement initiatives required.
- Knowledge of Occupational Safety requirements.
- Strong PC knowledge and ability to manage daily activities using various systems.
- Experience with continuous improvement initiatives.
- Fluent English, required.

DETAILED ACTIVITIES LIST
ACCOUNT MANAGEMENT
- Conduct periodic meetings with LA and other JLL FMs and managers (Sourcing, Engineering, EHS, General)
- Provide coverage for other FMs during vacations or illness
- Attend regular training sessions at Jones Lang LaSalle Corporate Office
- Participate in conferences and conventions
- Attend special events such as lunches with clients and colleagues from JLL
- Hold meetings with client staff (POC, CEOs, Town Halls, individual calls, etc.)
- Review JLL processes and procedures on an ongoing basis
- Interact with JLL Corporate (Engineering, Finance, and S&P)
- Provide soft services orientation to all FMs
- Schedule meetings and support weekly reports (4 to 5 times a week)
- Complete Workday trainings for EHS (about 5 per month)
- Attend EHS and Engineering training meetings (about 6 per month)
2. REPORTING
- Collect and consolidate operational information (e.g., Monthly Report)
- Prepare and send JLL LATAM Monthly Report
- Check and validate work orders in CORRIGO
- Prepare incident reports as needed
- Conduct occupancy planning
- Report Good Catch/Near Miss events
- Prepare ESG reports (2 different forms)
- Complete financial monthly closure
- Monitor IT room temperature and humidity (twice a month)
- Update site risk register (ongoing)
- Perform daily employee counting
- Report labor hours for service providers (CMO)
- Manage work permits as needed (EHS, Engineering)
- Update contract tracker and mapping services as needed
- Participate in POC meetings at the local site level
3. SOURCING & PROCUREMENT
- Oversee vendors and update contracts
- Maintain JAGGER Contract Management Module
- Update Contract Tracker LATAM
- Ensure COI Certificate of Insurance Policies are 100% updated
- Manage contract renewals for goods and services
- Prepare quarterly Vendor Score Cards and action plans
- Maintain vendor public legal certificates records
- Support Cognizant onboarding process and act as POC for all vendors
4. CLEANING SERVICES
- Hold daily meetings for service updates
- Supervise cleaning works
- Update daily work records
- Review and improve work records
- Conduct daily rounds and report to the team
- Manage recycling (remove, empty, and stock recycling bags)
5. MAINTENANCE SERVICES
- Oversee preventive and corrective maintenance for elevators/lifts
- Inspect mechanical, electrical, and plumbing systems
- Coordinate and supervise HVAC and electrical maintenance (during and after office hours)
- Maintain fire & life safety systems and equipment
- Conduct general building inspections
- Coordinate pest control and fumigation services
- Update asset records and business continuity plans
- Ensure drinking water provision and quality
- Implement energy conservation programs
- Manage furniture repairs and IT infrastructure support
- Oversee landscape and exterior maintenance
- Coordinate asphalt/concrete and sidewalk repairs
- Manage daily meetings and supervision for all service providers
- Update Corrigo notes and participate in weekly engineering calls
- Coordinate with external vendors for preventive maintenance and work permits
6. SECURITY MAINTENANCE SERVICES
- Request and review monthly entrance records
- Provide daily onsite support
- Create badges and run access control reports
7. FINANCE
- Collect quotes and onboarding information for suppliers
- Create purchase orders (E1)
- Receive goods/services and invoices, prepare monthly closure reports
- Store invoices in client SharePoint
- Follow up on payments and public taxation certificates
- Prepare quarterly forecasts and monthly accruals
- Approve invoices and PR requests in E1
- Communicate with vendors and finance regarding payments
- Prepare OPEX budgets and monitor inflation rates
- Update site risk register quotes and analyze budget for spare parts and stock
8. ENVIRONMENTAL, HEALTH & SAFETY (EH&S)
- Coordinate EH&S and labor insurance inspections
- Hire external consultants for fire drills and brigade training
- Arrange scheduled EH&S training
- Conduct indoor air quality, lighting, water quality, ergonomics, and noise level analyses
