INTERNAL VACANCY ANNOUNCEMENT

SOS Children’s Villages International is the umbrella organization to which all SOS Children’s Villages including SOS Children’s Villages Somalia Association is affiliated. SOS Children’s Villages Somalia has officially been working in Somalia since 1985. SOS is currently working in 134 countries worldwide. We are committed to the welfare of children – often throughout the whole of their childhood, and to strengthening families and communities as a preventive measure in the fight against abandonment and social neglect. We also run education and health facilities. With the SOS Children’s Village concept, the organization pioneered a family approach to the long-term care of orphaned and abandoned children. Banadir Region (Heliwa, Wadajir, Dharkenley and Dayninle districts), southwest-state (Baidoa, Burhakaba, Berdale, Baidoa and Hudur) and Hirshabelle State (Jowhar, Adale & Balcad). Position:                       HMIS Assistant

Reports to:                   HMIS Coordinator

Duty station:                Heliwa, Mogadishu

Contracting Durations – 6 Months     

 

Job summary:

The employee is expected to provide a high standard of promoting optimum project records and timely updating and timely data update records by gathering appropriate record folders and contents; assigning and recording new record numbers; verifying existing record numbers; inputting and recording project participants to Books or computer; delivering records. employee will also close work with HMIS officer-Coordinator and SOS partners ensuring that all field M&E/HMIS activities are carried out in an efficient and timely fashion. The Assistant will assist in project activity monitoring, documentations, data collection, analysis as well as database management and dissemination relevant information. The Assistant will work hand in hand with field teams and stakeholders on all programme participants data keeping updating and monitoring activities & ensure that monitoring visits are meaningful and capture data sought and feed into management decisions

Job Responsibilities:

  • Maintains master patient index by completing assigned portion of daily audit trail; corrects and communicates problems according to established procedures.
  • Initiates the medical record by creating and processing the patient care record folder.
  • Maintains record availability by processing charts into the department; using chart mark-off procedures; facilitating chart location activities.
  • Retrieves medical records by following chart-out procedures; documenting reasons charts cannot be retrieved for statistical and follow-up purposes.
  • Delivers charts to assigned areas of the hospital by following established routing procedures.
  • Keeps health care providers informed by communicating availability or unavailability of the record.
  • Ensure that every baby born at SOS Mother and Child Hospital is registered through the civil registration system and properly documented before discharge.
  • Update daily weekly IDSR surveillance reports.
  • Maintains quality results by following hospital standards.
  • Maintains continuity of work operations by documenting and communicating actions, irregularities, and continuing needs.

  • Inputting details from paper records onto a computer system
  • Maintain patient confidence by keeping patient records information confidential.
  • Serves and protects the hospital community by adhering to professional standards, hospital policies and procedures and local requirements
  • Storing test results and letters with the right patient records
  • Maintain a relational database system for the clinic records i.e pharmacy, laboratory, consultations, asset register.
  • Generate identification cards for target groups
  • Recording patient admissions, transfers, discharges and deaths
  • Filing records
  • Recording illnesses and treatments using a system of codes, known as clinical coding
  • Collecting statistics such as number of admissions and discharges
  • Make orders for stationery, equipment and any other office supplies.
  • At all times ensures that personal data of donors, sponsors, SOS CV beneficiaries and their families as well as SOS co-workers is handled confidentially and in accordance with prevailing SOS-Kinderdorf International data protection laws.
  • Performs other reasonable tasks as assigned from time to time.
  • Update Vital statistics in to the system.
  • Report writing skills

Qualifications and Experience

  • Candidate must graduate with the either a Degree/Diploma in Computer Science, statistics or related fields.
  • A minimum of one year of relevant work experience is considered an added advantage.
  • Excellent knowledge of word processing tools and spreadsheets (MS Office Word, Excel etc.)
  • Reasonable knowledge of current HMIS systems like Data analysis, designing tools, data collection and analysis, and use of statistical software like SPSS/STATA
  • Working knowledge of office equipment and computer hardware and peripheral devices
  • Basic understanding of databases
  • Good command of English both oral and written and customer service skills
  • Great attention to detail
  • Ability to work with a wide range of material, compare and verify information from different sources
  • Good communication and problems solving skills set required.
  • Good interpersonal skills and understanding of wider context
  • Flexibility and willingness to travel extensively in project sites
