Dispatcher / Office Coordinator (Bilingual – English/Spanish)
Job Overview
We are seeking a dependable and detail-oriented Dispatcher / Office Coordinator to support daily operations in a fast-paced environment. This role plays a key part in coordinating driver activity, managing administrative tasks, and ensuring clear communication between internal teams and customers.
The ideal candidate is bilingual (English/Spanish), highly organized, and able to multitask effectively while maintaining accuracy and professionalism.
Schedule
- Training: 1–2 weeks (Part-Time)
- 8:30 AM – 1:30 PM
- Regular Schedule: Monday – Friday
- 9:00 AM – 6:00 PM (or until work is completed)
- 1-hour lunch
Responsibilities
- Greet and assist visitors in a professional manner
- Track and communicate with drivers throughout the day
- Collect, organize, scan, and file driver paperwork
- Provide mid-day and end-of-day reports using Excel
- Monitor and respond to emails in a timely manner
- Assist drivers with equipment and coordinate technical support
- Maintain accurate records and organized documentation
- Prepare driver performance and return reports
- Communicate delays and updates to customers via phone and email
- Create service tickets and schedule pickups
- Support management and warehouse leadership as needed
- Serve as closing coordinator to ensure all daily tasks are completed
Requirements
- Bilingual (English/Spanish) – Required
- Strong communication and organizational skills
- Proficiency in Microsoft Excel and email systems
- Ability to multitask and adapt in a fast-paced environment
- Strong attention to detail and problem-solving skills
- Dependable with excellent attendance
Preferred Qualifications
- Previous experience in dispatching, logistics, or office coordination
- Experience working in a warehouse, transportation, or distribution environment
