The Site Engagement Study Manager is accountable for the end-to-end delivery, governance, and performance of site engagement activities across assigned clinical trials, working with teams of site engagement subject matter experts globally accountable for optimizing clinical trial site performance.
The role serves as the primary point of contact with accountability for coordination of functional delivery, ensuring alignment with customer expectations, operational KPIs, and financial targets.
This position leads cross-functional coordination, oversees customer reporting, drives execution accountability, and ensures site engagement strategies translate into measurable trial impact. Expected to manage multiple studies concurrently with a strong focus on governance, analysis, and reporting.
What You Will Do:
Your focus will be on coordinating clinical trial management delivery, resolving issues, and developing team capability.
Key responsibilities include:
Coordinate, manage, and document all site engagement activities across assigned clinical trials, ensuring alignment with study goals, KPIs, and timelines
Develop, maintain, and actively manage site engagement plans, including country/site-level strategies, engagement cadence, and escalation triggers
Lead routine internal and external study meetings
Proactively track and drive completion of all required actions across CTLs, SELs, and cross-functional teams, ensuring accountability and timely execution
Monitor and analyze site, country, and study-level performance Translate data into clear, actionable insights and provide regular, high-quality customer-facing reporting demonstrating impact on recruitment and trial outcomes
Ensure all study documentation and trackers (e.g., engagement logs, reporting outputs, recruitment plans) are complete, accurate, and maintained in accordance with timelines
Identify, assess, and proactively manage operational and recruitment risks, driving issue resolution and appropriate escalation when required
Serve as the primary point of contact for site engagement, acting as liaison between sponsor, project management, clinical teams, and site engagement resources
Ensure alignment and effective collaboration across Clinical Operations, Project Management, and Patient Recruitment functions
Establish and reinforce clear expectations, KPIs, and roles (RACI) for site engagement teams to ensure consistent, high-quality execution
Ensure delivery of high-quality service and outputs, holding teams accountable to timelines, deliverables, and performance standards Participate in and contribute to study start-up activities, including planning, resource alignment, forecasting, and customer engagement strategy development Represent the function professionally in customer meetings, governance forums, and strategic discussions, providing data-driven recommendations and engaging SMEs when necessary
Ensure compliance with ICH/GCP and applicable regulatory, organizational, and study-specific requirements Recognize and manage sensitive or complex issues, escalating as needed to ensure resolution
Perform additional duties as required to support successful study delivery and site performance optimization
Your Profile:
2+ years in clinical trial operations, with direct exposure to site engagement, CTL, CRA, site operations or patient recruitment functions
Demonstrated experience working on global, multi-country trials
Proven ability to operate within matrix environments across Clinical, PM, and sponsor teams
Prior experience contributing to or supporting customer-facing deliverables or governance meetings
Strategic thinking with strong ability to translate into execution
Financial acumen (budget tracking, forecasting, risk translation)
Advanced data analysis & storytelling for customer reporting
Strong stakeholder management (internal + customer-facing)
High level of ownership and accountability
Ability to drive action and hold teams accountable in a matrix environment Deep understanding of clinical trial operations and site dynamics
