What this job involves
At a site or campus level, the Space Planner ensures all locations are optimized according to client workplace standards by understanding current space availability, workplace conditions, and headcount projections by local business unit. This role develops and delivers space planning solutions aligned with property strategies, manages migration plans, and maintains accurate data systems to support both tactical and strategic business space requirements.
Your day-to-day tasks will include:
- Develop site-level blocking, stacking, and adjacency planning to optimize space allocation and meet business needs
- Create migration plans and sequencing strategies for group-level and individual moves across campus locations
- Manage and maintain CAFM/IWMS data systems to ensure accuracy of space inventory reporting and analytics
- Facilitate customer planning meetings with MAC teams to resolve planning issues and support service request implementation
- Prepare communications including floor plans, stack plans, and spend approval documents to help Business Representatives understand proposed accommodation solutions
- Track and report actual seat demand versus projected demand at the building level, forecasting inventory changes and site metrics
- Collaborate with Senior Site Leadership and Area Occupancy Planners on site-specific planning strategies and enforce space policies, standards, and protocols
Physical Demands and Work Environment:
- Standard office environment with regular computer use
- Ability to review and analyze floor plans and building layouts
- May require site walks and building inspections
- Occasional lifting or moving of materials related to space planning activities
Required Qualifications:
- High school diploma or equivalent
- Minimum of 3 – 5 years of experience in corporate environment.
- Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations is highly desirable
- Proven experience in space planning including stacking, blocking, and adjacency planning
- Demonstrated proficiency with CAFM/IWMS systems for space management and data maintenance
- Strong relationship building and customer service skills with ability to work cross-functionally
- Advanced proficiency in Microsoft Office tools (Excel, PowerPoint, Word)
- Excellent verbal and written communication skills for stakeholder engagement
- Proven ability to manage and deliver multiple projects simultaneously
- Strong problem-solving skills with tactical planning expertise
Preferred Qualifications:
- Experience with activity-based working programs and workplace strategy initiatives
- CAFM system experience
- AutoCAD skills for creating and modifying floor plans and space layouts
- Background working in corporate real estate or facilities management environments
- Familiarity with workplace standards and design guidelines
- Experience conducting data accuracy audits and space utilization analysis
- Knowledge of change management principles related to workplace moves
- Understanding of strategic real estate portfolio planning and forecasting
