Job Description Summary
The Executive Assistant is responsible for providing administrative support to the Executive team. This position requires strong organization and communication skills, a high level of confidentiality, and the ability to coordinate calendars in a timely and professional manner.Job Description:
Role & Responsibilities
- Prepare documents for meetings of the Management team and other stakeholders.
- Schedule and maintain calendars and coordinate travel for the President, Chief Financial Officer, Chief People Officer, with the possibility of others on the executive team.
- Coordinate internal and external Management meetings and provide necessary support including, but not limited to, scheduling, meal orders, meeting minutes, and follow up.
- Complete expense reports and/or credit card reconciliation.
- Collect and communicate monthly financial reports and metrics.
- Organization, maintain and retrieve corporate record files and reports.
- Answer, filter and direct phone calls and visitors as necessary.
- Open, sort, prioritize and distribute incoming mail, faxes, emails and other correspondence.
- Track and provide feedback and recommendations on organizational continuous improvement efforts.
- Other duties as assigned.
Qualifications and Education Requirements
- High school diploma or equivalent required.
- Associate or bachelor’s degree in Business Administration or related field preferred.
- 5+ years of proven similar experience directly assisting executive level teams.
- Must be proficient in Microsoft Office products, intermediate in Excel.
- Display a high level of confidentiality in all business matters.
- Ability to work independently as well as in a collaborative team environment.
- Excellent customer service, written and verbal communication skills.
- Strong phone contact handling skills and active listening.
- Self-motivated and able to work in a fast-paced environment with heavy workload.
- Ability to multitask, prioritize and manage time effectively while staying organized.
- Ability to meet deadlines and adapt to changes in priorities.

Pay Range:
$66,560.00 - $92,160.00Individual compensation is determined by skills, qualifications, experience, and location.
