Job Summary:

The Associate Specialist Transportation Warranty is responsible for the strategic administration and execution of warranty recovery programs, fleet maintenance MRO parts and service support, vendor management, and warranty compliance across the company's transportation and complex fleet operations. This position serves as the primary liaison between internal maintenance teams, operating locations, OEMs, aftermarket suppliers, and third-party repair providers to maximize warranty recoveries, improve fleet support processes, and ensure maintenance-related programs are effectively managed throughout the organization.

The role provides leadership and oversight for warranty receivables, campaign and recall management, vendor contract administration, and maintenance service procurement. Through close partnership with fleet operations, distribution, maintenance, and procurement teams, this position drives financial performance, influence equipment total cost of ownership, and operational efficiencies with reporting and accountability across the enterprise.

Essential Duties and Responsibilities:

  • Lead all warranty administration activities for Transportation, Distribution, Private Fleet, Live/Feed, and Complex Fleet operations.
  • Manage the end-to-end warranty claim process, including claim identification, submission, follow-up, dispute resolution, and recovery collection.
  • Serve as the primary point of contact with OEMs, dealers, manufacturers, and aftermarket suppliers regarding warranty claims and reimbursement opportunities.
  • Develop and maintain warranty recovery strategies to maximize reimbursement and reduce maintenance expenses.
  • Monitor and manage warranty receivables, reporting, forecasting, and recovery performance.
  • Collaborate with maintenance shops and operating locations to ensure proper documentation and compliance with warranty requirements.
  • Educate maintenance personnel and field locations on warranty procedures, claim eligibility, and documentation standards.
  • Manage the creation, maintenance, renewal, and removal of warranty agreements within the Cetaris Maintenance Management System.
  • Ensure warranty coverage information is accurately maintained for all applicable fleet assets in both Cetaris and SAP.
  • Maintain system integrity and reporting accuracy for warranty-related data and recoverable expenses.
  • Manage the identification, tracking, and communication of internal maintenance campaigns and OEM-issued recalls.
  • Facilitate timely communication of recall and campaign information to maintenance supervisors, fleet managers, and repair facilities.

Education: Bachelor’s degree preferred or equivalent combination of education and experience.

Work Experience: 3+ years’ experience preferred.

Licensure, Registration and/or Certification:

  • Computer Skills: Proficient with Microsoft Office Suite. 
  • Communication Skills: Must demonstrate strong verbal and written skills.  Must be able to influence team and cross functional leaders.  Must be able to engage/inform senior level management on a regular basis
  • Special Skills: Experience in developing long-term business strategies and running complex sourcing events. Recognized as an established expert in respective field. Develops and executes strategy that aligns function with organizational goals and generates results that will have a positive impact on the function/business unit.
