Description
Key Responsibilities
- Proactively manage the CEO's diary, commitments and scheduling.
- Coordinate internal and external meetings on behalf of the CEO.
- Act as a key point of contact for stakeholders engaging with the CEO.
- Prepare meeting materials and briefing information as required.
- Track actions and follow-up requirements arising from meetings.
- Support the CEO in managing competing priorities and commitments.
- Handle confidential and sensitive information with appropriate discretion and professionalism.
- Assist colleagues with general administrative tasks.
- Coordinate meetings, workshops and internal activities.
- Support document formatting and preparation.
- Maintain agreed trackers, records and administrative documentation.
- Assist with information collation and basic reporting.
- Provide practical support during periods of high workload.
- Schedule meetings and manage invitations.
- Book meeting rooms and coordinate catering.
- Support travel and logistical requirements where required.
- Circulate approved papers prepared by others.
- Maintain attendance records and other agreed meeting records and administrative documentation.
- Coordinate day-to-day office administration activities.
- Support meeting room management and workspace coordination.
- Manage office supplies and routine workplace requirements.
- Act as a first point of contact for routine office issues.
- Escalate facilities and maintenance matters to the appropriate colleague or supplier.
- Support health and safety administration where required.
- Undertake cross-training across Digital Jersey's Events, Hub and DJX operations.
- Provide operational cover during annual leave, absence and busy periods.
- Support event delivery including registrations, attendee management and room preparation.
- Provide front-of-house support for events and visitors.
- Assist with venue set-up and operational activities.
- Support routine Hub and DJX administrative activities.
Skills, Knowledge and Expertise
- Previous experience in administration, coordination, executive support, office support or business support.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines.
- High level of discretion and professionalism.
- Strong Microsoft 365 skills.
- Ability to work independently while supporting a wider team.
- Confidence and professionalism when dealing with a range of internal and external stakeholders.
- A flexible and collaborative approach, with a willingness to provide practical support across different areas of the organisation.
- Experience supporting senior leaders
- Experience supporting meetings and events
- Experience working within a membership, charity or public sector environment
- Experience with CRM, finance or event management systems
